JOB LOCATION Duke Eye Center of Mebane - 480 Gregory Poole Lane, Suite 310 Mebane, NC JOB SUMMARY We are seeking aPatient Service Associate to coordinate and perform duties related to clinic preparation, patient check-in and check-out, appointment scheduling, charge posting, cash collection, referrals, and patient communications. This position provides front-line customer service while ensuring patient information, insurance documentation, payments, and scheduling activities are completed accurately and according to established policies and procedures. JOB DUTIES AND RESPONSIBILITIES
- Prepare for daily clinic visits by reviewing upcoming patient schedules, completing next-day preparation activities, entering pre-visit orders, preparing new patient information, and organizing required medical records and documentation.
- Check patients in upon arrival and accurately identify the correct patient and account information in Maestro Care.
- Verify and update patient demographic, insurance, primary care provider, and referring provider information as needed.
- Present required patient forms, explain documentation requirements, and obtain signatures according to established policies and procedures.
- Complete all required Maestro Care check-in activities and manage appropriate account alerts.
- Collect and post copayments, outstanding balances, and other patient payments accurately.
- Explain billing and collection requirements to patients according to PRMO credit and collection policies.
- Prepare, review, and audit encounter forms for completeness and accuracy. Investigate missing encounter forms and complete charge posting or batching activities as required.
- Schedule return appointments using the correct appointment type and schedule requested tests, procedures, and ancillary services.
- Complete and distribute ancillary service requisitions and coordinate laboratory testing and procedures as requested.
- Assist with referral management and ensure required referral information is entered and maintained accurately.
- Answer telephone calls and distribute messages to physicians, nurses, and other team members accurately, completely, and within established communication standards.
- Communicate medical and scheduling information received from patients and referring offices accurately and promptly.
- Maintain patient records, insurance documentation, physician office charts, reports, and other required clinical documentation.
- Provide courteous and professional assistance to patients, visitors, providers, and other members of the healthcare team.
- Perform additional job-related duties and provide departmental coverage as requested.
JOB ELIGIBILITY REQUIREMENTS
- Work requires knowledge of basic grammar and mathematical principles normally acquired through high school education.
- Minimum of one year of work experience in directly communicating and providing service to patients or public; preferably in a healthcare related field.
- Experience in effectively coordinating multiple tasks or activities.
- The position requires strong verbal and written communication skills, basic computer and data-entry skills, knowledge of medical terminology, and professional telephone etiquette.
- The employee must demonstrate the ability to organize and prioritize work, provide clear oral and written instructions, interact tactfully with patients and customers, and establish and maintain effective working relationships with others.
- The employee must be able to understand and apply departmental policies, rules, and regulations related to verifying patient information, collecting and posting payments, scheduling appointments, and maintaining required records and forms.
JOB HOURS The schedule for this position is day shifts, Monday-Friday, with no weekends or holidays.
