Position Details

  • Schedule: Full-time (40 hours/week)
  • Location: Hybrid- Northeast Minneapolis
  • Salary Range: Starting range $20.91- $24.05/hour (Where an applicant may fall on the salary range will vary based on a variety of factors, including but not limited to experience & education)

Key Responsibilities

  • Process requests for release of health information, including physicians, attorneys, patients, health care providers, 3rd party payers and other authorized parties in accordance with HIPAA and practice regulations.
  • Process and track all FMLA paperwork requests.
  • Prepare forms for internal and external clinics.
  • Process Release of Information for patients, both internal and external clinics.
  • Communicate effectively with patients, insurance companies, attorneys, and 3rd party release companies to verify release needs ensuring HIPAA compliance.
  • Monitor provider approval via text, task, and email.
  • Sort and prioritize incoming information (faxes, emails, mail, Adobe, and phone calls).
  • Answer and triage all patient, staff and provider calls.
  • Interact daily with patients.
  • Provide HIPAA, escalation calls and FMLA/Disability troubleshooting for other departments.
  • Coordinate 3rd party record audits.
  • Ensure that proper authorization is provided for all releases.
  • Legal paperwork review, reporting and data entry.
  • Provide the transmission and acquisition of patient records between health clinics
  • Document all releases within EHR (Electronic Health Records) system in accordance with company policy.
  • Apply and maintain standards regarding patient security and confidentiality in accordance with HIPAA and practice regulations.
  • Complete all work accurately in a timely and efficient manner.
  • Respond to patient emails and phone calls in regards to Patient Portal.
  • Promote a culture of caring through interactions with internal and external customers
  • Other duties may be assigned to meet business needs.


Additional On Site Office Support:



  • Batching/ filing of records
  • Mail Support
  • Sort all incoming mail for HIM Teams and batching/filing
  • Maintain patient confidentiality in accordance with HIPAA and practice regulation
  • Other duties may be assigned to meet business needs.

Education and/or Experience:

  • High school diploma or GED required
  • Associates' or Bachelors' Degree in health care related discipline preferred
  • Administrative experience in an office setting required
  • Previous release of information, medical records, or other related experience in a health care environment is preferred
  • Customer service experience is required


Certifications/Licenses: RHIT or RHIA certificate is preferred
