What You'll Do:
  • Manage complex executive calendars, including coordination across multiple time zones and frequent schedule changes.
  • Support bi-weekly travel planning across multiple U.S. regions and coordinate complex domestic and international travel arrangements.
  • Schedule and coordinate customer meetings, supplier meetings, executive meetings, corporate events, and team gatherings.
  • Prepare meeting logistics including catering, conference room setup, technology readiness, and attendee coordination.
  • Manage conference room scheduling and ensure meeting spaces are prepared and functioning properly.
  • Prepare and submit executive expense reports and track associated documentation.
  • Coordinate restaurant reservations and event arrangements for customer visits and executive engagements.
  • Partner with IT, facilities, security, and other support organizations to ensure seamless event and meeting execution.
  • Assist with employee meetings, holiday events, and organizational activities.
  • Conduct research, compile data, prepare reports, and support special projects and operational initiatives.
  • Handle sensitive and confidential information with professionalism and discretion.
Job Requirements
What You'll Bring:
  • 10+ years of experience providing executive-level administrative support in a fast-paced corporate environment.
  • 5+ years of experience supporting Vice President, Corporate Vice President, Executive Director, or equivalent senior leadership roles.
  • 5+ years of experience managing complex executive calendars, scheduling priorities, and high-volume meeting coordination.
  • 5+ years of experience coordinating domestic and international travel arrangements, itineraries, and expense reporting.
  • 5+ years of advanced Microsoft Office experience, including Outlook, Teams, Word, Excel, and PowerPoint.
  • 3+ years of experience coordinating executive events, customer meetings, leadership meetings, and corporate functions.
  • High School Diploma required.

  • Experience partnering with IT, facilities, security, catering, and other support organizations to execute high-profile events.
  • Strong interpersonal skills with the ability to build relationships across all levels of an organization.
  • Positive, service-oriented mindset with a reputation for finding solutions and following through.
  • Experience working closely with executive administrators and broader administrative support teams.
Additional Information:
  • Upon offer of employment, the individual will be subject to a background check.
  • Overtime: May be required based on executive schedules, customer visits, and business needs.
  • Lifting Requirements: Ability to perform the physical requirements of the role.
  • Work Environment: 100% onsite. No remote or hybrid work option available.
  • Dress Code: Business casual with business casual+ attire required during customer visits and executive events.
  • Team Structure: Supports a Corporate Vice President and Director-level leaders while partnering closely with an Executive Administrator and two additional Administrative Assistants.
