We are hiring an Executive Administrative Assistant for our Inside Sales Team. This role is fully remote; however, the ideal candidate will reside in Wisconsin or Minnesota in order to attend occasional onsite meetings as needed.

The Inside Sales Executive Administrative Assistant plays a critical role in supporting the success and efficiency of the Inside Sales organization. This position combines high-level administrative support with analytical and operational responsibilities, serving as a trusted partner to the National Inside Sales Manager and leadership team.

Key contributions include administering and validating commission and bonus calculations, ensuring accuracy and integrity in incentive reporting for Inside Sales Representatives and Call Center Managers, and delivering timely, data-driven insights through customized reporting. The role also acts as a central point of coordination for travel, meetings, and team events, enhancing productivity and engagement across the organization.

This position requires a proactive, detail-oriented professional who thrives in a fast-paced environment, demonstrates strong organizational and analytical skills, and can seamlessly balance confidential financial processes with executive support and team coordination initiatives.

Job Responsibilities

  • Prepare payment documentation for Inside Sales Representative spiffs, incentives, and Call Center Manager bonuses using Cognos reports and vendor data. Prepare sales, commissions and spiff report for National Inside Sales Manager. Submit payment recommendations to executive management and HR for approval and processing and distribute finalized payment summaries to sales representatives.
  • Plan and coordinate Inside Sales events and meetings by managing schedules, securing venues, arranging travel and logistics, communicating details to participants, and supporting biennial national meetings through award administration, vendor coordination, and budget/ROI tracking. Assist National Inside Sales Manager of annual and ongoing sales rep goals.
  • Track the status of commission support plans, maintain performance tracking spreadsheets comparing actual sales to plan goals, and provide regular status reports to the National Inside Sales Manager and Call Center Managers.
  • Prepare and submit monthly expense reports for Call Center Manager credit cards and National Inside Sales Manager Concur report; generate recurring sales reports for the National Inside Sales Manager; maintain sales rosters and ISR account base reports; onboarding new Inside Sales Representatives; support Inside Sales Representative assignment to clinic accounts as needed; assist with planning team events
  • Support National Inside Sales Manager with Call Center Manager Annual Reviews and Forecasting

Qualifications

  • High school diploma or equivalent (GED) is required
  • 1-3 years administrative work experience is required
  • A two-year (or four-year) degree in a business-related field is preferred
  • Experience working with sales and commission data preferred

Knowledge, Skills and Abilities

  • Strong verbal and written communication skills in English
  • Proficient in Microsoft Outlook, Excel, and Word, with general Windows-based computer and data entry skills
  • Experience with Cognos and Concur preferred
  • Accurate and efficient 10-key/data entry abilities
  • Skilled in creating, analyzing, and formatting reports
  • Highly organized with the ability to prioritize, multitask, and manage projects effectively
  • Detail-oriented with strong problem-solving and critical thinking skills
  • Self-motivated and able to work both independently and collaboratively
  • Demonstrates strong customer service and interpersonal skills

Equipment Used
Regularly uses typical office equipment including computer keyboard and terminal, telephone, printer, fax, and copier.

Work Environment

Work will be performed indoors in a relatively temperature-controlled climate where moderate heat, cold or humidity may be experienced. Work will typically be performed Monday through Friday. Working more than 40 hours per work week may be required. You may be required to work weekends during specified business meetings upon request. Business travel will be required and may require overnight stays and ability to travel by air.
