Working under the general supervision of the Vice President of Client Experience, referring only exceptional problems and issues for management review or approval, the Client Experience Project Administrator serves as a liaison between the Enterprise Sales Teams, the clients, the partners and the project managers. The Administrator organizes and coordinates product delivery, maintains updates on timelines and project statuses and prepares any reporting required by the client. The Administrator, demonstrating agility and flexibility, coordinates all efforts as needed for last-minute product or delivery changes while keeping the client, sales team and all necessary personnel updated on the status.

Where applicable, this position assures departmental processes are performed in compliance with applicable Sarbanes-Oxley controls.

As a Client Experience Project Administrator, you'll play a pivotal role in delivering successful customer implementations by serving as the operational hub between our Enterprise Sales teams, clients, technology partners, project managers, and internal operations teams.

In this highly collaborative role, you'll ensure projects move seamlessly from planning through delivery by coordinating product logistics, managing timelines, resolving challenges, and keeping stakeholders informed every step of the way. Your ability to anticipate needs, solve problems quickly, and communicate proactively will directly contribute to exceptional customer experiences and successful project outcomes.

Responsibilities: Drive Successful Project Delivery

  • Coordinate project activities across Sales, Project Management, Operations, distribution partners, and clients to ensure projects stay on schedule.
  • Serve as the primary point of coordination for project communications, timelines, deliverables, and escalations.
  • Monitor project milestones and proactively identify potential risks or delays.
  • Maintain accurate project status updates and communicate progress to internal teams and customers.



Coordinate Product Fulfillment & Logistics

  • Partner with Project Managers and Client Experience teams to manage product availability, inventory, and delivery schedules.
  • Coordinate product shipments, delivery appointments, tracking, and warehouse activities.
  • Manage return logistics and ensure products are returned efficiently to partner warehouses.
  • Arrange delivery requirements based on project plans while resolving scheduling or transportation challenges.
  • Coordinate spare part orders and SKU creation when needed.



Deliver an Exceptional Client Experience

  • Serve as a trusted resource for customers by providing timely communication and proactive updates throughout each project.
  • Manage customer inquiries and escalations with professionalism and urgency.
  • Participate in customer meetings and conference calls to review project schedules, services, and implementation plans.
  • Ensure customers, partners, and internal teams always have clear visibility into project status and next steps.



Partner Across the Business

  • Collaborate with Enterprise Sales, Sales Operations, Project Management, Product Management, Distribution Partners, Configuration Labs, and Service Providers to deliver successful customer outcomes.
  • Coordinate service partner scheduling and follow through to ensure implementation activities are completed as planned.
  • Work closely with Client Experience teams to resolve RMA (Return Merchandise Authorization) and DOA (Dead on Arrival) issues while minimizing customer disruption.
  • Support cross-functional problem-solving when project priorities or delivery requirements change.



Reporting & Project Visibility

  • Prepare, validate, and distribute customer-facing project reports with a high degree of accuracy.
  • Produce daily shipment reports, including tracking information, serial numbers, and asset tag details.
  • Generate weekly inventory reports highlighting warehouse inventory levels and product status.
  • Analyze project data to identify trends, improve reporting quality, and support operational decision-making.



Drive Continuous Improvement

  • Identify opportunities to improve project workflows, communication, and operational processes.
  • Recommend enhancements that improve efficiency and elevate the customer experience.
  • Document procedures and share best practices across the team.
  • Support special projects and additional responsibilities as assigned.

Requirements:

  • Associate degree or an equivalent combination of education and relevant professional experience.
  • Nine or more years of experience in project coordination, customer operations, client services, supply chain, logistics, or a related field.
  • Experience supporting customer implementations, order management, or project delivery.
  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
  • Exceptional communication and relationship-building skills.

Technical Skills

Work Environment
