Position Overview

The Exact Sciences Biorepository is an enabling function that manages samples across locations and programs in support of the company's product development portfolio. The Biorepository Operations Coordinator works closely with lab teams, project managers, and other cross-functional stakeholders to ensure that day-to-day operations, key initiatives, and service requests are achieved through excellent coordination and communication. The Biorepository Operations Coordinator provides critical support to workflow design and execution, IT systems, data cataloguing, and other activities to ensure high-quality sample management is achieved.

This is an onsite position at our Madison, WI location.

Essential Duties

Include, but are not limited to, the following:

  • Develops and fosters collaborative relationships with cross-functional teams including but not limited to Clinical Operations, Clinical Research Programs, R&D, Program Management, Logistics, Facilities, IT, Lab, Biorepository, and others as appropriate.
  • Maintains working relationships with external partners / service providers.
  • Supports the planning and execution of basic sample retrieval, shipment, delivery, return, and destruction logistics within agreed upon timelines.
  • Monitors intra/inter-facility sample transfers to ensure timely delivery and keeps stakeholders informed.
  • Imports data into sample inventory management system using defined templates and procedures to support downstream sample storage and queries.
  • Assists with UAT testing of system changes.
  • Provides basic system/process support and training to appropriate personnel.
  • Provides support for issues entered into a ticket tracking system including but not limited to user account provisioning, data edits, data imports, study creations, storage unit additions/modifications, and user-defined field configurations.
  • Supports the operational assessment and execution of clinical studies and sample acquisition activities.
  • Audits the accuracy of participant, sample, location, and other data across software systems for quality assurance using defined processes. Investigates and corrects discrepancies as needed
  • Assists with documentation of key business processes.
  • Performs onsite storage infrastructure and sample management process assessments.
  • Works with lab teams to ensure physical sample storage infrastructure is accurately modeled in the sample inventory management system. Identifies new/updated physical storage requirements and configures in system per specifications.
  • Coordinates projects of small-to-medium scope with defined deliverables.
  • Supports defined continuous improvement initiatives within Biorepository.
  • Consistently demonstrates strong attention to detail.

  • Ability and means to travel between local Exact Sciences locations.
  • Ability to travel 10% of working time away from work location, may include overnight/weekend travel.

Minimum Qualifications

  • Bachelor's Degree in the health or life sciences, or a related field as outlined in the essential duties; or Associate's Degree in the health or life sciences, or related field as outlined in the essential duties, and 2 years of relevant experience as outlined in the essential duties; or High School Diploma or General Education Degree (GED) and 4 years of relevant experience as outlined in the essential duties.
  • 2+ years of progressively responsible job-related experience in laboratory, clinical research, IT, regulatory, or related function with project management.
  • Proficient with Microsoft Office programs.
  • Authorization to work in the United States without sponsorship.
  • Demonstrated ability to perform the Essential Duties of the position with or without accommodation.

Preferred Qualifications

  • Experience with sample laboratory workflows and/or biobanking.
  • Experience with sample and/or clinical data management platforms and/or practices.
  • Knowledge of laboratory information management systems (LIMS) including barcoding, sample processing, accessioning, storage, and retrieval.
  • Understanding of Good Clinical Practice guidelines.
  • Experience in a customer-facing service role.

Salary Range:

$46,000.00 - $74,000.00

The annual base salary shown is for this position located in US - WI - Madison on a full-time basis. In addition, this position is bonus eligible.
