The Executive Assistance, Information & Digital Technology, anticipates needs, manages complex schedules, handles sensitive information with discretion, and serves as a liaison between Chief Information & Digital Officer and internal/external stakeholders.The position also serves as a utility support player within the Information & Digital Technology function, contributing to the coordination and success of various functional projects and processes. What We Need:
- Responsible for providing executive administrative support to theChief Information & Digital officer, including calendar management (accepting, declining and prioritizing meetings based on business urgency and strategic relevance), travel and expense management, and project management.
- Prepares meeting agendas, briefings, presentations, reports, and correspondence as needed.
- May serve as the CIDO's delegate in meetings when the CIDO is unavailable, capturing decisions and ensuring appropriate follow-through
- Coordinates logistics for internal and external meetings, including virtual and in-person events.
- Tracks key initiatives and deliverables and follows up as needed to ensure deadlines are met.
- Independently field and resolve inquiries directed to the CIDO from internal and external stakeholders, determining when and how to involve the CIDO versus handle directly
- Coordinate with IT leadership team members on action items, deliverables, and commitments, exercising judgment about escalation and priority
- Manage logistics for large-scale IT events IDT offsite events and Art of the Possible
- Provides resourceful, courteous, and proactive communication on behalf of the assigned executive team.
- Handles confidential information with integrity and discretion.
- Fosters a collaborative, well organized, and productive environment in the CIDO's office.
- Participates in activities as appropriate to ensure the success of the organization.
What You Have:
- 5+ years of administrative support or project management experience required
- Strong organizational skills and ability to multitask in a fast-paced setting.
- Excellent written and verbal communication skills.
- High level of professionalism, discretion, and confidentiality.
- Strong problem-solving and critical thinking abilities.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with collaboration tools such as Microsoft Teams.
- Strong interpersonal skills and the ability to build relationships across all levels of the organization.
- Demonstrated understanding of organizational mission and commitment to acting accordingly.
- Ability to proactively anticipate and meet assigned leader and departmental needs, with a high degree of initiative and autonomy.
- Exceptional organizational and multitasking abilities.
- Effectively organizes and manages workload and demonstrates ability to prioritize tasks based on company and executive leadership deadlines.
