Performs administrative functions to support smooth and efficient clinical service and practice operations.
Performs administrative duties related to patient visits including scheduling, check-in, check-out duties (performs all duties of the other levels at highest proficiency level).
Make patient appointments and maintain appointment records.
Assist callers with routine inquiries and triage matters appropriately.
Process patient billing forms and scan documents to patient medical record (EPIC).
Acts as "Super User" for scheduling, registration and billing systems. Provides assistance and training to others in these areas.
May perform more complex or specialized functions (i.e. surgical scheduling, schedule changes/blocking) at more advanced competency level.
Handles, screens and/or takes messages related to prior authorizations, provider questions, prescription refills, and test results.
Additional responsibilities as assigned.
Pay range: Dependent on experience - starting at $20 per hour, with increases based on the candidate's specific years of experience

Qualifications
  • Associate degree in Secretarial Science or Business, or completion of a Secretarial Training Certificate Program, preferred.

  • High school diploma or equivalent required.

  • Minimum of three (3) years of work experience in a medical group practice, billing, and/or managed care setting required.

Skills, Abilities, and Competencies
  • Demonstrated ability to interface with various levels within the practice, with strong knowledge of issues related to managed care.

  • Thorough knowledge of the EPIC system, including electronic medical record (EMR) modules and related features.

  • Demonstrated ability to work independently with limited supervision; strong problem-solving skills with the ability to remain organized, detail-oriented, and outcome-focused within a team environment.

  • Effective interpersonal and communication skills, with the ability to interact professionally with all levels of management.

  • Knowledge of HIPAA confidentiality and privacy policies.

  • Understanding of disaster protocols, including fire, safety, and code procedures, as required through mandatory training in accordance with MGH and JCAHO guidelines.
