Hours may vary based on the needs of the property (or properties). Must be available to work seven days a week in a floating (as needed capacity). Employees will be expected to attend / work at all resident relations and marketing functions in addition to regularly scheduled work hours.

POSITION SUMMARY:

The primary responsibilities of this position are:

Manage new construction property (or properties) for stakeholders by performing duties personally or through direct reports in a floating (as needed) capacity. Quickly assess operating deficiencies, if applicable, at assigned properties and make corrective action plans as needed.



  1. Maximize occupancy/physical appearance/prospect retention/compliance (as applicable).
  2. Oversee and manage the floating leasing coordinators on-site.
  3. Administer lease up process and assign duties to the staff in place.
  4. Establish and maintain pleasant atmosphere and relations with the prospects and residents of the community.
  5. Maintain visibility, professionalism, and rapport.


ESSENTIAL FUNCTIONS:



    1. Marketing/Leasing Procedures:




    • Market and lease (rent) apartments with approved rental rates and maintain a waiting list or interest list, as applicable.



    • Keep in close contact with the appropriate Marketing contact.



    • Ensure all prospective residents are responded to, per policy. Document all contacts.



    • Review weekly traffic reports and closing ratios by employee.



    • Process and approve new resident files, timely, in accordance with screening results and compliance regulations, where applicable.



    • Complete all paperwork for the property's designated housing programs (Section 8, Vouchers, Section 236, Section 42, Bonds, 4D, etc.) in a timely and accurate manner.



    • Handle all details of move-ins and move-outs, giving special attention to unit inspections.




    2. Dominium Procedures:




    • Maintain professional appearance and attitude.



    • Timely and regular attendance.



    • Become familiar with and knowledgeable of federal, state, and local laws and regulations as they relate to the management of the property (or properties) and the needs of the residents.



    • Read and follow the procedures in the Employee Handbook. Ensure all staff members have access to and understand the online handbook.



    • Read and follow the procedures related to Compliance (Section 42, Section 8, etc.)



    • Keep Yardi updated daily to ensure accuracy.




    3. Office Procedures:




    • Provide an exceptional level of customer service.



    • Report accidents and emergency situations that develop immediately.



    • Address and correct any/all internal and external audit findings in the designated time frames.



    • Maintain and/or document all community records, files and reports, in Yardi and any other company shared database.




    4. Monetary Procedures:




    • Follow Dominium Purchase Order and purchasing procedures.



    • Purchase Orders: Must obtain approvals and a purchase order number prior to purchasing good and/or services.



    • Oversee and adhere to all appropriate company accounting directives.



    • Work within the established budget and notify the Area/Regional Manager of any possible variations immediately.




    5. Staffing Procedures:




    • Meet with your leasing staff daily to go over all relevant business, including discussion of occupancy goals, renewals and projections.



    • Conduct new hire orientation and new hire training with new employees and work with Human Resources regarding the onboarding process in DEC.



    • Prepare training schedules for new employees or employees moving into a new position.



    • Make sure the staff is properly trained and has attended all the Dominium University courses that are available to them.



    • Prepare and conduct performance reviews on new hires and current employees including the 90-day performance review, the semi-annual performance review and the annual performance review. Make recommendations for salary increases and/or advancement.



    • Hire and terminate employees in accordance with company policy/procedure, Federal and State laws and under the direction of the Area/Regional Manager and Human Resources, maintaining employee records for attendance, PTO, employee performance management, etc.



    • Make sure the staff is professional in their appearance and dealings with our prospects, residents, vendors and coworkers.




    6. Physical Responsibilities:




    • Frequent travel as determined by Senior Management based on the needs of each property.



    • Property performance reporting to the Regional Manager and/or the VP of Property Management.





    SUPERVISORY RESPONSIBILITIES:



    • Supervise all leasing and file processing personnel, as applicable with assignments.
    • Train and/or be responsible for work performed by staff members or contract vendors.
    • Establish schedules and assign necessary personnel needed to properly manage and maintain the community.



    QUALIFICATIONS: (Knowledge, Skills, Abilities, Education, Training and Experience.)







      • 2- or 4-year degree preferred.
      • At least 5 years of experience in related field desired.
      • Accounting and administrative background helpful
      • Accredited Residential Manager (ARM), Certified Occupancy Specialist (COS), Resident Apartment Manager (RAM), or similar designation preferred
      • Expert customer service and demonstrated people skills
      • Strong verbal and written communication skills
      • Mathematical Skills
      • Advanced Microsoft Office experience
      • Ability to work and understand the problems and various needs of employees, prospects, vendors and residents
      • Ability to troubleshoot quickly and produce performance-based results.
