The
CCAS Office of Graduate Studies (
OGS) is seeking a Sr. Student Services Specialist, Graduate Awards, who will work to ensure the delivery and accurate tracking of graduate awards to current and prospective
CCAS graduate students, in order to aid the College's graduate enrollment goals and support the recruitment of an excellent and diverse graduate student body. The Sr. Student Services Specialist, Graduate Awards, will act as a resource for
CCAS graduate students, faculty and staff on awards opportunities, policies, and systems training.
Responsibilities Include:
Processes annual award letters to continuing and prospective students by:
- Acting as School Fellowship Initiator by entering award information into the awards offer system and admissions system, SLATE.
- Ensuring accuracy and timeliness of award offers.
- Making decisions on award offers in line with the goals set by CCAS leadership.
- Tracking award allocations for various scholarship programs, including all graduate student endowments.
- Maintaining award responses in databases.
- Providing up-to-date information about projected spending and use of awards to strategically improve yield for master's programs.
- Tracking renewals of ongoing award commitments to graduate students, including responsibility for maintaining accurate award records for current students and in OGS systems.
- Maintaining and organizing award letter storage and department access.
Supports the Associate Director in preparing periodic reports on graduate awards by:
- Reviewing award audit reports regularly to identify and address issues or inaccuracies.
- Preparing end-of-year reports on various award programs, including information on use of allocated funds and yield rates.
- Providing analysis of award programs.
Facilitates the award-related training of faculty and staff and supports their processing of graduate awards by:
- Organizing training events, for all administrative staff and directors of graduate study for each award cycle.
- Communicating information about award systems and procedures to CCAS stakeholders.
- Developing and maintaining training documents/videos on award nomination systems, policies and procedures.
- Advising faculty and staff on award policies and troubleshooting and solving faculty and staff issues related to graduate awards.
Manages communication with current and prospective graduate students on awards- related topics by:
- Working with the Associate Director to prepare admitted and current student communications regarding award programs and opportunities.
- Updating and suggesting additions and improvements to the CCAS Graduate Studies awards website.
- Assisting the Associate Director and the CCAS Graduate Studies Committee with creation of awards application procedures and application portals for special awards programs.
- Responding to student inquiries about scholarship opportunities
- Assisting students with registration issues as necessary.
- Preparing communication on scholarship opportunities, both internal and external, for graduate students.
- Exercising professional judgment to refer difficult cases to the Associate Director or other GW office as appropriate.
- Maintains thorough and up-to-date understanding of CCAS award policies and procedures
- Acts as a backup School Fellowship Coordinator and secondary liaison with the Office of Graduate Assistantships and Fellowships, the Office of the Vice Provost for Research, the Office of Student Financial Assistance, and other University offices regarding routine matters that pertain to CCAS graduate funding.
- Assists the CCAS Graduate Admissions team in handling applications for admission during peak times.
Performs other work-related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position. |
| Minimum Qualifications: |
Qualified candidates will hold a Bachelor's degree in an appropriate area of specialization plus 2 years of relevant professional experience, or, a Master's degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience. |
