The Administrative Assistant provides essential support to ensure the smooth operation of an office or department. This role involves managing schedules, handling correspondence, organizing files, and assisting with various administrative tasks. Essential Duties and Responsibilities:



  • Greet and direct visitors
  • Handle incoming and outgoing mail and packages
  • Maintain a clean and organized reception and common areas
  • Manage conference room meetings
  • Assist with planning employee engagement activities
  • Manage office supplies
  • Provide administrative support to other departments as needed
  • Manage calendars, schedule meetings
  • Professionally, handle phone calls, emails, and other communications
  • Prepare reports, presentations, and other documents
  • Maintain filing systems and ensure records are up to date
  • Assist with expense reports, check requests, invoicing
  • Support team members and executives with administrative tasks
  • Process invoices


Qualifications:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • 2+ years of previous experience in administrative support role, construction industry preferred.
  • High School Diploma or GED required, Associate Degree in business administration or related desired.
  • Strong organizational and communication skills.
  • Familiarity with office equipment (multi-line phone systems, printers, copiers)
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook
  • Valid Drivers License is required

Position is primarily based in office, working out of Anchorage, AK.

Physical Demands

Minimal travel is required for this position. Position is primarily an office position, performs work at a desk. The employee is frequently required to sit for extended periods of time. Employee must be able to wear the personal protective equipment (PPE) in order to conduct job site visits (hard hats, personal floatation devices, safety glasses, gloves, safety-toed shoes, respirators, etc.), and be able to navigate stairs, ladders, gangways, and to board, work on, and disembark floating vessels and structures.
