Overview The Construction Business Services team is hiring for a Clerical Assistant L1-2 for Permit Applications - Van Nest. This role provides essential administrative support including accurate tracking, documentation, and preparation of work packages and permits. The candidate will interact frequently with internal and external customers, requiring strong communication and customer service skills. Responsibilities include interpreting basic construction drawings, maintaining reports and records, and supporting material procurement and filing needs. Success requires attention to detail, proficiency in Microsoft Office, and the ability to manage multiple tasks efficiently. The role also involves meeting physical requirements such as manual dexterity, moderate lifting, and occasional travel.
Responsibilities
Core Responsibilities
- Decipher basic information from construction drawings issued by various engineering organizations.
- Track and manage permit applications to support accurate scheduling, documentation, and reporting.
- Submit and process construction permit applications in NYCStreets, ensuring filings comply with DOT standards.
- Communicate with the NYC Department of Transportation (DOT) to clarify work scope, resolve inquiries, and ensure compliance with project requirements.
- Provide timely updates to customers regarding permit status and followup needs.
- Prepare and submit documentation packages to release DOT holds and support project progress.
- Log and track information in various computer applications; prepare work packages, reports, and materials; perform basic filing.
- Sit/stand at a stationary post for long periods and travel to various work locations as needed.
- Push/lift up to 25 pounds and stoop, bend, reach, and kneel for filing tasks.

Qualifications Required Education/Experience
Relevant Work Experience
- Excellent clerical, administrative, and organizational skills, including strong computerkeyboarding abilities.
- Strong interpersonal and telephone communication skills for frequent interaction with internal and external customers.
- High proficiency in Microsoft Office (Excel, Word, PowerPoint, Power BI, Outlook). - Preferred
- Working knowledge of software applications such as NYCStreets and Summons Workspace. - Preferred
- Detail oriented, organized, and effective at meeting deadlines.
- Excellent manual dexterity and frequent use of hands required.
Skills and Abilities
- Ability to interpret basic information on drawings.
- Must be proficient in Microsoft Office including Word, Excel, Outlook and PowerPoint, etc.

Additional Physical Demands
- The selected candidate will be assigned a System Emergency Assignment (i.e., an emergency response role) and will be expected to work non-business hours during emergencies, which may include nights, weekends, and holidays.
