We are seeking a highly motivated and meticulously organized individual to join a dynamic team dedicated to crafting unforgettable workplace experiences. In this pivotal role, you will be the driving force behind a vibrant calendar of events, directly impacting the daily lives and community spirit of employees. Your expertise will ensure every gathering, from casual meet-ups to significant community events, is executed flawlessly, fostering a positive and engaging atmosphere within our client's offices.

As an integral member of the team, you will manage the success of various onsite events, ranging from afternoon gatherings to engaging evening community events. This includes meticulous scheduling, liaising with various stakeholders, and diligent follow-up on all tasks and duties. You will be instrumental in creating memorable moments, building positive rapport with visitors, and ensuring a comfortable and welcoming environment for all attendees. This role requires a dedicated onsite presence and flexibility to support evening and occasional weekend events, reflecting your commitment to exceptional event delivery.

**Key Responsibilities:**

* Lead the planning, coordination, and execution of diverse onsite events, ensuring a seamless and positive experience for all attendees.

* Collaborate closely with internal teams to thoroughly understand event requirements and objectives, translating them into actionable plans.

* Serve as the primary facilities host during events, warmly welcoming guests and ensuring their comfort and satisfaction.

* Oversee the efficient setup and breakdown of event spaces, coordinating with relevant teams for all logistical needs and follow-ups.

* Provide comprehensive administrative support for all pre-event planning activities and post-event wrap-up procedures.

* Actively manage vendor relationships, collaborating with suppliers to secure essential resources such as furniture, catering, and supplies, ensuring timely delivery and high-quality services.

* Maintain clear and consistent communication with internal teams, vendors, and stakeholders throughout the entire event planning and execution process.

* Proactively anticipate and address any issues or challenges that may arise during events, demonstrating quick and effective problem-solving skills.

* Exercise excellent judgment in making critical onsite event decisions and effectively escalating issues when necessary.

* Work effectively with cross-functional teams, including workplace management, security, and technical support, to ensure successful event execution.

**Must-Have Qualifications:**

* 5+ years of relevant experience in events coordination and/or office management.

* Demonstrated experience in managing event organizers, service providers, and facilities vendors.

* Proven ability to collaborate effectively with diverse groups, including internal coordinators, security teams, visitors, leadership, and executive assistants.

* Strong customer service orientation, coupled with excellent written and verbal communication skills.

* Ability to expertly balance multiple priorities, seamlessly shift between tasks, and maintain composure and responsiveness in dynamic environments.

* Proven capacity to exercise sound judgment and make effective decisions as needed.

* Working knowledge of events and crowd safety standards.
