The Executive Assistant to the Chairman provides administrative and operational support with a focus on the accurate and timely execution of assigned tasks. The role requires strong attention to detail, responsiveness, and the ability to follow direction while handling confidential information with discretion.

DUTIES & SCOPE:




  • Serve as a trusted strategic partner and gatekeeper for executive leadership, anticipating needs and prioritizing requests within established company guidelines.


  • Manage high-volume, frequently shifting executive calendars involving senior internal and external stakeholders across multiple time zones.
  • Manage strategic scheduling of meetings and appointments, proactive conflict resolution, and prioritization of executive commitments.
  • Coordinate complex domestic and international travel arrangements, including multi-country itineraries and real-time changes.
  • Prepare materials and logistical support for executive and board-level meetings.
  • Handle highly confidential information with discretion and professionalism, in accordance with company policy and applicable law.
  • Exercise independent judgment in time-sensitive and high-impact situations.
  • Support executive initiatives, communications, and ad hoc projects as assigned.
  • Serve as the primary point of contact, screening phone calls, responding when appropriate, and ensuring accurate and timely message delivery.
  • Maintain and manage contacts.
  • Ensure high responsiveness across all communication channels (e.g., email, phone).
  • Organize, maintain, and retrieve documents, ensuring records are accurate, secure, properly filed, and easily accessible.
  • Support documentation preparation as needed.
  • Review invoices, code expenses, obtain approvals, and coordinate bill payments.
  • Complete adhoc projects as assigned.

QUALIFICATIONS:



  • Bachelor's degree required, or an equivalent combination of education and relevant professional experience.
  • 10+ years of experience as an Executive Assistant or equivalent with a minimum of 5 years supporting C-suite executive.
  • Bookkeeping experience with knowledge of Quickbooks or similar applications.
  • Proven ability to operate effectively in fast-paced, executive-level environments.


The starting base pay for this role is between USD $95,000.00 and $130,000.00 per year. The actual base is dependent upon many factors, such as: location, training, transferable skills, work experience, business needs, and market demands. The base pay range is subject to change and may be modified in the future. The role may also be eligible for bonus and benefits.
