The IT Business Operations Coordinator plays a key role in supporting the IT department's day-to-day business operations. This position focuses on managing software licenses, processing IT purchases, maintaining accurate asset and access records, and supporting budget tracking and reporting. The role is highly detail-oriented and ensures compliance, efficiency, and transparency across IT purchasing and administrative processes.
This role sits within the IT team working closely with Procurement and Finance, helping ensure that resources are managed effectively and that IT operations run smoothly.

Key Accountabilities

  • Process IT purchase requests and track them through internal procurement systems.
  • Maintain a central inventory of software licenses and subscriptions, monitoring renewals, and expirations.
  • Assist with IT budget tracking and provide simple cost and spending reports.
  • Manage IT invoices against purchase orders, ensure accuracy, and timely processing.
  • Coordinate IT onboarding and offboarding processes (asset assignment, license/account provisioning and removal).
  • Support and manage documentation for SOP's and guidelines to ensure regular compliance.
  • Support process improvement initiatives to streamline purchasing, license tracking, and IT administrative workflows.
  • Manage IT Teams site and team engagement activities.
  • Support IT Leadership and Project Management Office with ad-hoc administrative tasks.
  • Other special projects and duties as assigned.

Technical & Functional Skills:

  • Proficient in Microsoft 365 suite.
  • Experience with IT asset management or service desk tools (ServiceNow / Service Desk / Jira)
  • Familiarity with procurement/ERP systems (D365, JDE (Oracle) or similar).
  • Strong documentation and organizational skills.

Minimum Requirements

  • 3+ years of experience in IT administration, business operations, finance support, or a related role.
  • Experience with purchasing processes, IT asset management, or financial operations preferred.

The starting pay range estimated for this position is $21.06 per hour. Benefits include health and dental coverage, short- and long-term disability, paid time off, 401K participation with company match, etc.
