Administrative Assistant


Aging & Disability Resource Center (ADRC)


Hourly Pay Range: $19.88 - $29.83



Job Summary: The Administrative Assistant will support quality initiatives, process collection of data, create reports for all ADS employees and customers. This position will also assist customers with fair hearing request as well as with other services available in the ADRC, AAA, and APS. The Administrative assistant is also responsible for answering phone calls and entering records into computerized tracking system.



Job Duties:



  • Provide assistance with fair hearing cases. Describe fair hearing eligibility and process criteria to customers. Obtain customers information for rescreening to correct any errors in determining eligibility for Publicly Funded Long-Term Care (PFLTC).
  • Create tracking documents for monthly QI Reports and provide support for QI meetings and project. Assist with ADS surveys and collection of data on customer experience with all aspects of services.
  • Utilize investigative techniques to access CARES, Forward Health, Electronic Case File (ECF), Peerplace or any other State and/or County owned system and correctly identify barriers with PFLTC enrollment. Navigate clients through obstacles to get to the optimal system of care.
  • Attend regularly scheduled trainings and meetings with service area supervisor, State and County staff and community stakeholders.
  • Monitor the IRIS start date inbox for PFLTC enrollments daily. Ensure proper documents are sent to the programs.
  • Performs all other general office support as assigned. Support priority projects as determined by immediate supervisor or ADRC leadership.



Minimum Qualifications:



  • Current resident of the state of Wisconsin
  • High School diploma/GED equivalent.
  • At least one (1) year of office work experience.
  • Advanced knowledge of all MicroSoft office products including Excel, Word, Outlook and Teams.



Preferred Qualifications:



  • Experience working with individuals' w/ disabilities and over the age of 60.



Knowledge, Skills and, Abilities: Demonstrated communication skills and experience working in a high pace, demanding team environment. Ability to follow simple instructions; create reports, short correspondence, and memos; able to prepare and/or write communication pertaining to complex topics; ability to conceptualize, be creative, problem solve, be pragmatic, and assertive; ability to maintain a continuing working relationships which can have a significant effect on the success of the organization; skilled in the use of PC's, laptops and cell phone; ability to work effectively and harmoniously with peers and client departments; ability to maintain sensitive or confidential information.
