Alfred University seeks a highly organized, proactive, and detail-oriented Executive Assistant and Project Manager to support the Vice President for Marketing and Communications and ensure the smooth operation of the Office of Marketing and Communications.

This full-time role blends executive support with strategic project management and departmental coordination. The ideal candidate is a collaborative professional who thrives in a creative,fast-paced environment and has a strong background in project management tools like Asana. They will keep complex initiatives on track, facilitate team communication, and help maintain operational excellence.

Rate:$28.00-$29.59; 35 Hours a week

Responsibilities:
  • Provide direct administrative support to the Vice President, including calendar management, travel coordination, meeting scheduling, note-taking, and expense reporting
  • Serve as a point of contact between the VP and internal/external stakeholders
  • Serve as part of the University's administrative council
  • Assist with the preparation of reports, presentations, and departmental documentation
  • Handle confidential information with discretion and professionalism
Project Management:
  • Oversee the day-to-day workflow of the Office of Marketing and Communications across multiple creative projects and internal "client" accounts
  • Manage project timelines, deliverables, and team coordination using Asana, ensuring initiatives stay on schedule and within scope
  • Coordinate between content, design, and strategy team members to support creative execution across campaigns, web updates, publications, and digital media
  • Serve as a primary point of contact for select stakeholders or departments-scheduling meetings, tracking approvals, and ensuring alignment on expectations and goals
  • Support campaign planning, launch schedules, and reporting cycles for both internal and university-wide initiatives
  • Anticipate bottlenecks, proactively identify solutions, and maintain a calm, strategic approach under pressure
  • Help refine internal project workflows, systems, and communications for greater clarity and efficiency
Qualifications-Education & Experience, Knowledge, Skills & Abilities:
  • Bachelor's degree required; degree in marketing, communications, business administration, or a related field preferred
  • 3-5 years of experience in administrative support, project coordination, or marketing operations, preferably in higher education or a creative environment
  • Proven experience with project management software (Asana preferred)
  • Excellent time management, communication, and organizational skills
  • Strong ability to manage competing priorities and work cross-functionally with diverse teams
  • Proficiency with Microsoft Office and comfort with digital tools and platforms
  • Detail-oriented, proactive, and solutions-focused, with a high level of professionalism and discretion
