Job Summary

The Police Administrative Coordinator is a non-sworn position that provides administrative and operational support to the Chief of Police and University Police Department. Manages communications, calendars, travel, and office functions in collaboration with the Business Manager. Responsible for records management and serves as Records Custodian, ensuring compliance with public records laws, Clery Act reporting, and supporting accreditation efforts. Collaborates with campus partners to meet regulatory and safety requirements.

Job Description

Typical duties may include but are not limited to:

  • Provides comprehensive administrative support to the Chief of Police and University Police Department, including managing calendars, coordinating travel, preparing correspondence and presentations, and serving as department liaison for internal and external communications.
  • Supports daily office operations to include personnel, budgeting, purchasing, and space/equipment coordination in partnership with the Business Manager.
  • Coordinates departmental projects and activities such as compliance reporting, events, accreditation tasks, and internal meetings; ensures alignment with university procedures and regulatory standards.
  • Develops and maintains organized systems for confidential records management, including creation, classification, retention, secure storage, and lawful disposal of departmental records.
  • Serves as the department's Records Custodian, managing public records requests, processing court orders (e.g., seal/expunge), and ensuring compliance with state and federal records laws.
  • Ensures Clery Act reporting compliance by maintaining crime/fire logs, preparing the Annual Security and Fire Safety Report, coordinating Timely Warnings and Emergency Notifications, and overseeing documentation of safety programs and prevention efforts.
  • Identifies and supports Campus Security Authorities (CSAs) through training, documentation, and collection of crime statistics; collaborates with other departments to meet federal mandates such as the Violence Against Women Act and Drug-Free Schools requirements.
  • Supports law enforcement accreditation efforts by maintaining compliance documentation and facilitating internal audits and external reviews.
  • Interprets and applies university policies and external regulations; assists in developing procedures that enhance operational efficiency and compliance.

Additional Job Description

Required Qualifications:

  • This position requires either six years of directly related full-time experience or, as an alternative, a Bachelor's degree from an accredited institution in an appropriate area of specialization and two years of full-time experience directly related to the job functions.
  • Professional full-time experience with record management, Clery Act compliance or crime classification reporting for other federal act compliance.
  • Experience operating a personal computer and proficient with Microsoft Office (Word, Excel, Teams, and Outlook).
  • Any appropriate combination of relevant education, experience, and/or certifications may be considered.

Preferred Qualifications:

  • Bachelor's Degree from an accredited institution in an appropriate area of specialization.
  • Work experience in a higher education setting.
  • Experience with other related topics to include, but not limited to, Title IX, VAWA, Uniform Crime Reporting, and the Drug Free Schools and Campuses Regulations.

Knowledge, Skills, & Abilities:

  • Strong organizational skills and an ability to prioritize and complete simultaneous projects within deadlines.
  • Knowledge of National crime reporting through the Federal Bureau of Investigation (FBI), National Incident-Based Reporting System (NIBRS), Florida Incident-Based Reporting System (FIBRS), and Uniform Crime Reports (UCR).
  • Excellent interpersonal, verbal, and written communication skills.
  • Ability to work collaboratively and build strategic relations with colleagues, coworkers, and external partners.
  • Ability to think critically and creatively, have a high standard of integrity, and be motivated to incorporate best practices into the organizational structure.
  • Ability to work successfully as both a member of a team and independently with minimal supervision.
  • Ability to maintain confidentiality and discretion at all times.
  • Ability to interpret and apply regulations, policies, procedures, and instructions consistently.
