Your tasks

  • Maintain accurate and up-to-date customer files in Great Plains with current and pertinent information.
  • Respond to customer and service engineers requests for compliance and safety documentation; gather data and complete supporting paperwork as needed.
  • Monitor FSE process compliance; provide feedback to service team members to ensure established procedures and checklists are followed to close out service calls and improve technician effectiveness.
  • Generate invoices and credit memos for customer orders; handle adjustments as needed.
  • Process customer invoices via email and e-billing portals; match vendor invoices with customer orders to issue final billing.
  • Resolve billing disputes related to service calls; communicate with Accounts Receivable on issues requiring follow-up.
  • Use SOP and Service Modules to create sales orders, back orders, invoices, and RMAs.
  • Serve as a point of contact for customer, sales, and distributor inquiries regarding pricing, stock status, back orders, shipments, and general account details.
  • Handle day-to-day customer and distributor billing/shipping questions, escalating significant issues to the department supervisor or manager.
  • Support financial performance analysis by tracking low-margin accounts and contributing to improvement initiatives.
  • Assist in inventory and logistics procedure analysis; help implement improvements to increase efficiency.
  • Lead and support new processes for linear billing improvements.


Your profile

  • Associate's Degree and two to four years related experience and/or training; or equivalent combination of education and experience. Product and pricing knowledge as it applies to the machine tool industry.
  • Knowledge and experience with Microsoft Office Systems, including Excel and Microsoft Word. Knowledge of Great Plains or similar software program helpful.
