Summary of Job Duties:The Administrative Coordinator will be responsible for coordinating and providing logistical support to the Department of Family Medicine's Research Evaluation Division and the Psychiatric Research Institute. This position will organize and participate in team meetings and offer logistical support where needed. The Administrative Coordinator will assist with processing contracts, help with vendor/supplier setup, and obtain quotes, and will be responsible for travel and purchasing as well as maintaining a system to ensure all goods are received and all tasks are complete. This position will also assist with training at off-site retreats/conferences. Qualifications:
  • Bachelor's degree plus two (2) years of administrative experience or

  • High School diploma/GED plus six (6) years of administrative experience required.

Knowledge, Skills & Abilities:

  • 2 years of work experience on a research team or in project management, or 5 years of work experience in an administrative support role.

  • Proficient in Microsoft Office.

  • 5 years of experience processing travel and purchasing.

  • SAP experience required.

Additional Information:

Responsibilities:

  • Responsible for purchasing and travel, including disseminating travel policy, helping traveling staff determine locations for overnights within state guidelines, and processing travel paperwork. This includes making the appropriate accommodations, such as hotel, rental car, and flight reservations.

  • Provides meeting coordination and logistical support for various research division projects.

  • Contributes to the division's outreach efforts, which promote various research programs which are recruiting partners.

  • Executes general administrative duties such as expense reporting, desktop publishing, document editing, basic report preparation, and distribution for various research projects.

  • Works closely with Program Managers and other team members to accomplish grant and contract deliverables.

  • Performs other duties as assigned.
