- Coordinate with IT support to triage and resolve technical issues affecting conference room functionality, including audio / visual equipment, connectivity, and scheduling systems, ensuring minimal disruption to meetings and events.
- Manage the logistical aspects of onboarding employees and 3-party contractors, including workstation setup, badge access, and coordination with IT and HR for seamless experience.
- Assist in tracking and managing the office operations budget, including supplies, maintenance, and event expenses.
- Oversee office and workstation assignments, ensuring the guidelines are adhered to.
- Plan location specific activities and celebrations, working in coordination with teams, and employee resource groups as needed.
- Work closely with office administrative professionals, supporting all administrative duties and ensuring that the office is running smoothly.
- Develop and implement office policies by setting up procedures and standards.
- Assist in developing and maintaining emergency response procedures for all AES Facilities and coordinator safety drills.
- Assist with drafting internal communications, announcements, and newsletters to keep AES People informed and engaged of Facility news.
- Serve as the point person for parking, mailing, shipping, supplies, and cleaning.
- Measure results against standards and make necessary changes.
- Ensure all office amenities are available and up to standard.
- Manage relationships with vendors and service providers, ensuring timely invoicing and payments.
- Provide back-up support for visitors.
- Maintain a safe, secure, and pleasant work environment.
Skills and Qualifications:
- At least 5 years' professional experience in office management or senior administrative support function, preferred.
- Undergraduate degree, preferred
- Outstanding interpersonal skills, including an ability to maintain calm and effective exchanges with all parties.
- Personal values consistent with those of AES - Safety First, Highest Standards, All Together
- Highly organized, detail oriented and ability to multi-task & prioritize work.
- Strong proficiency with MS Office tools (Outlook, Word, Excel, Power Point)
- Excellent written and verbal communication skills.
