On-Site Clinical Data Coordinator

Minimum Qualifications Summary

Certification & Education Required

- Minimum of Bachelor's degree and/or minimum of 5 years' experience in the fields of nursing, medical records technology, project management, or related areas that provide skills in record abstraction, data collection, and project management and coordination

Experience Required

- Experience with computers and use of Excel, Outlook, Access, and Word
- Experience adhering to federal standards of privacy, such as Certificates of Confidentiality

Job Objective
The purpose of this task is to identify modifiable maternal exposures in early pregnancy that may increase the risk for having a pregnancy affected by certain major, structural birth defects.
Responsibilities
- Using the protocol and established local procedures, identify eligible cases from the MACDP system.
- Using information from the MACDP system, retrieve vital records data (e.g., birth certificate, fetal death certificate) on potential new cases.
- Maintain electronic lists of potential participants.
- Using the MACDP system, identify flagged eligible case subjects and transfer clinical and contact information from the MACDP system to the CBDRP clinical and contact information databases, respectively.
- Code (using a modified version of ICD-9 or ICD-10, provided by CDC) birth defects data in the clinical database. Consistently review codes transferred from the MACDP system to ensure accuracy in the CBDRP clinical database.
- Determine preliminary case eligibility and flag the subjects for review by the clinician reviewer(s).
- Initiate follow-up on identified cases and use the MACDP system to request additional medical or contact information from MACDP coordinators and abstractors when needed.
- Track pending cases and collect clinical data from clinicians, abstractors, and data managers to update the CBDRP clinical database.
- Update the contact information database with new information from the off-site interviewing staff at least weekly.
- Update demographic and clinical data on potential participants in the CDC-provided contact information database.
