Alumni Affairs and Constituent Relations

This position serves as the primary front-facing representative of the Miner Alumni Association (MAA) and Hasselmann Alumni House. As the first point of contact for alumni, campus partners, and visitors, the role is responsible for delivering a professional and welcoming experience that reflects the values of Missouri S&T. The incumbent provides direct assistance through in-person interactions, phone, and email, ensuring timely and accurate responses to inquiries. By serving as a central resource for alumni engagement and campus connection, this position plays a critical role in fostering positive relationships and advancing the mission of the MAA.

Key Responsibilities:

• Creates and maintains records and performs other office duties including printing, copying, filing, expense and invoice management, shipping, mailing, scheduling appointments, contact and data maintenance as well as processing daily gifts
• Provides administrative support for a team of eight, ensuring the office operates at maximum efficiency. Responsibilities include procuring office supplies and creating and maintaining alumni records
• Provides direct support to the Assistant Vice Chancellor including calendar management, meeting scheduling (internal and external to campus), travel planning/coordinating and expense reconciliation
• Coordinates and executes meetings as necessary, including quarterly board meetings, both in person and virtually, confirming attendance; developing and compiling preparatory work; preparing select reports and assembling materials; preparing meeting space and logistics
• Manages the MAA stewardship program and supervises both paid and volunteer student workers within the organization. Participates in the planning and execution of all on campus events hosted by the alumni association
• Provides general support for HR and recruitment processes within the organization
• Perform other job-related duties as assigned

Some nights and weekends will be required. Normal workday is Monday-Friday, 8am-5pm.

An Associate's degree or an equivalent combination of education and experience and at least 1 year of experience from which comparable knowledge and skills can be acquired is necessary.

2-3 years of executive office management experience in a fast-paced environment.

The anticipated hiring range for this position has been established as $17.05-$22.91 hourly.

Salary is determined by a variety of factors, including but not limited to, the individual's particular combination of education, skills, and experience, as well as organizational requirements.
