Summary

Provides complex administrative duties to support optimized department operations accomplished through performing various accounting duties, providing first-class customer service, leading special projects or initiatives, maintaining department records, providing procurement support, and participation in budget management activities.

Pay Range: $16.50/hr. - $24.50/hr. (Depending on qualifications and experience)

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Provide varied, multi-functional business and administrative support under general supervision.

  • Respond to customer inquiries through answering telephone calls, e-mails or face-to-face communication; research customer complaints for timely, professional resolution.

  • Create, prepare and maintain various office files.

  • Collect, analyze and report department accounting and budget data.

  • Review, code, and route all city credit card expenditures for the department and reconcile monthly credit card statements.

  • Process and maintain department reports as well as expenses and supply orders.

  • Research, compile, and analyze information required to procure vendors to provide services supporting various department functions.

  • Entering data into various systems, reconciliation, submitting and verifying of payment/invoice authorizations.

  • Leads or supports various special projects, including public outreach, uniform apparel management, and business process improvement initiatives.

  • Provide administrative support to City's sidewalk and curb repair/replacement program.

  • May be required to work outside of normal work hours to complete time-sensitive work assignments, attend meetings, facilitate public outreach events, or respond to city emergencies, as required.

  • Performs any and all other duties as assigned.

Minimum Qualifications

  • High School Diploma or General Equivalency Diploma (G.E.D.)

  • 3 years related experience

Or an equivalent combination of education and experience sufficient to successfully perform the essential functions of the job.

Preferred Qualifications

Education/ Experience:

  • Some college courses completed or training beyond the high school level

  • 3-5 years experience in bookkeeping, accounting, finance, customer service and/or administrative support

Knowledge, Skills & Abilities:

  • Knowledge of generally accepted business/administrative practices and procedures

  • Knowledge of proper grammar, spelling, and punctuation appropriate for business.

  • Skill in operating a personal computer and standard business software applications

  • Ability to type 40 words per minute

  • Excellent customer service and telephone etiquette skills

  • Strong organization skills are essential for success in this position, with strong attention to detail.

  • Proficient oral and written communications skills

  • Ability to deal tactfully and professionally with the public and various business partners in normal, difficult, and unusual situations.

  • Ability to quickly and competently learn software packages used to support department operations: Questica, e-Assist, Cartegraph, Civic Plus, and Workday

  • The ability to adapt comfortably through complex and varied organizational process, procedural and people-related dynamics is essential for success in this position.

  • Ability to work collaboratively with department staff, other city departments, and various stakeholders

  • Ability to multi-task, while successfully balance competing priorities in a fast-paced environment

Licenses and Certifications

  • Valid Class C Texas driver's license

Physical Requirements / Work Environment

The incumbent works in a typical office environment; relatively free from unpleasant environmental conditions or hazards.
