The Opportunity

We are seeking a Specialist, Client Programs & Events to join our Firm. This position will be based in our New York office (hybrid). Within this position, you will be responsible for the comprehensive planning, coordination, and execution of client-facing events that support the Firm's business development and marketing objectives. These events include CLE seminars and webinars, receptions, dinners, and other high-profile functions. Responsibilities include but are not limited to:

  • Plans, coordinates, and executes client-facing events, including but not limited to venue research, contracts and sponsorship negotiations, budgeting, staging, materials production and team coordination across multiple departments.
  • Manages end-to-end logistics for client CLE programs, including in-person, virtual or hybrid presentations.
  • Oversees set-up of audio-visual logistics for virtual events, and collaborates with the IT department and external vendors.
  • Ensures compliance with MCLE accreditation standards across relevant jurisdictions.
  • Works closely with the Firm's business development managers, attorneys, and committees to align event strategies with practice-specific and Firmwide business goals.
  • Supports the Firm's practices' strategic and business planning efforts as they relate to events.
  • Partners with Business Development and Marketing teams to identify target audiences and industries for Firm events and support follow-up plans to maximize ROI.
  • Researches and maintains up-to-date intelligence on event experiences, venues, restaurants and vendors.
  • Manages relationships with existing vendors while identifying opportunities to expand partnerships.
  • Negotiates contracts with venues and vendors to optimize value and service.
  • Maintains invitation and attendee lists in CRM, ensuring data accuracy and integrity.
  • Track event-related activities in firm databases, aggregate and analyze data for reporting, and provide post-event analysis and recommendations for improvement.
  • Demonstrates effective interpersonal, written and verbal communication skills to facilitate effective work relationships with others.
  • Manages Firm resources responsibly.
  • Complies with and understands Firm operations, policies and procedures.
  • Performs other related duties as assigned to support the Firm's business development and marketing initiatives.

Qualifications

  • Proficient in relevant Firm computer software programs (e.g., Outlook, Excel, PowerPoint), with the ability to learn new software and operating systems
  • Strong interpersonal and communication skills, with the ability to synthesize and convey information effectively in writing and verbally
  • Demonstrates exceptional close attention to detail
  • Solution-oriented, excellent analytical, troubleshooting, organizational, and planning skills
  • Ability to handle multiple projects and shifting priorities
  • Ability to handle sensitive matters and maintain confidentiality
  • Ability to organize and prioritize work
  • Ability to work well in a demanding and fast-paced environment
  • Ability to work well independently as well as effectively within a team
  • Ability to use discretion and exercise independent and sound judgment
  • Knowledge of Firm practice areas
  • Familiarity with CRM systems and database management
  • Excellent proofreading skills
  • Flexibility to travel
  • Flexibility to adjust hours and work the hours necessary to meet operating and business needs

Education and Experience

  • Bachelor's degree
  • Minimum of six years related experience in a professional services environment

The starting base salary for this position is expected to be within the range listed under Salary Details. Actual salary will be determined based on skills, experience (to the extent relevant) and other-job related factors, consistent with applicable law.

$100,000 - $110,000
