Overview:

We are seeking a Document Management and Records Control Specialist who will focus on a combination of administrative tasks in support of business operations and performance improvement. This position will ensure effective processing, maintenance, retrieval, and dissemination of electronic records in alignment with document and records management policies and procedures. This position resides in the Transportation and Waste Management Division (TWMD), Environmental Safety Health and Quality (ESH&Q) Directorate at Oak Ridge National Laboratory (ORNL).

Major Duties/Responsibilities:

  • Collaborate with SMEs to compile data, and prepare spreadsheets, procedures, forms, reports, plans, and presentation materials.
  • Serve as the division's Document Control Officer, coordinating the management and control of procedures, forms, plans, and other documents using approved systems.
  • Support records management activities, ensuring proper maintenance, retrieval, and dissemination of electronic files.
  • Manage documentation and information using ORNL systems, including:
    • Enterprise Document and Record Management (EDRM)
    • Assessment and Commitment Tracking System (ACTS)
    • Standards-Based Management System (SBMS)
    • SuccessFactors
    • SharePoint
  • Assist with SharePoint site maintenance and updates.
  • Assist with divisional administrative duties.
  • Create, update, and maintain electronic files.

Basic Qualifications:

  • High school diploma with a minimum of 2 years of administrative experience with strong knowledge of office practices and procedures.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe Acrobat.
  • Ability to collect, organize, and compile varied data into reports, plans, and presentations.

Preferred Qualifications:

  • Experience with ORNL's systems, including ACTS, EDRM, and SuccessFactors.
  • Excellent interpersonal, teamwork, computer, oral and written communication skills, and the ability to adjust to changing priorities
  • Motivated self-starter with the ability to work independently and to participate creatively in collaborative teams across the laboratory.
  • Ability to function well in a fast-paced research environment, set priorities to accomplish multiple tasks within deadlines, and adapt to ever changing needs.
