Under the supervision of the Intake & Rev Cycle Supervisor, the Intake Coordinator will provide front line intake services to clients coming into the OTP and mental health programs. This position is accountable for reviewing eligibility and program expectations prior to clients meeting with their assigned clinical workers. This position requires a thorough understanding of the clinic's philosophy of treatment, admission process and criteria. A basic knowledge of substance abuse and dual diagnosis is essential. The individual is responsible for ensuring that clinical and administrative intake services are provided for patients.

I. Major Responsibilities:

  • Responds to Eligibility Specialist if a patient is flagged with insurance issues and works with the patient as needed to get coverage updated. Assists individuals without health insurance how to apply.
  • Ensures there are no dual registration in OTP, checks eligibility status to prevent dual registration and approval of admission into OTP within the Central Registry system.
  • Enters all necessary authorizations for services sought. Ensure approval of authorization approvals and works with denial specialist to assist as needed to get claims paid.
  • Explains program to patients and ensures that patients understand informed consent.
  • Demonstrates a complete understanding and ability to apply client registration policies and procedures.
  • Routinely follows through on scheduling change requests including but not limited to blocks due to time off or meetings, schedule time changes from providers.
  • Provides prompt, courteous, and accurate customer service with patients, co-workers, and administration.
  • Supports administration in enforcing hospital policies and procedures.
  • Shows initiative-anticipates what needs to be done and takes action.
  • Reviews HIPPA rules and required paperwork; verifies proper release is on file; obtains all signatures needed for medical records.
  • Assists team with all clinic software/hardware and provides on-site troubleshooting
  • Troubleshoot with patients on barriers to treatment such as insurance and transportation
  • Train new admin on program tools and workflows.
  • Manage admin scheduling.
  • Forward communications (mail, phone, voice message, fax) to appropriate providers in timely fashion.

II. Position Qualifications:

1.License/Certification/Education:

Required:

HS Diploma or GED required. 1 year advanced education and training in the business/clerical field or equivalent experience.

2. Experience/Skills:

Required:

1 Year of working in medical or behavioral health practice. 1 year experience working in electronic medical record. Customer Service experience required consisting of maintaining a cooperative and positive attitude with patients, caregivers, and visitors. Strong analytical skills. Ability to prioritize and handle multiple tasks concurrently.

Preferred:

Bilingual skills in Spanish English highly preferred. Prior work experience with substance abuse patients.
