The Sr. Executive & HR Coordinator provides high-level administrative support to a small group of assigned senior leaders. The Sr. Executive & HR Coordinator must be a highly confidential, organized, proactive, and detail-oriented professional who expedites the flow of work for assigned leaders by prioritizing key objectives and handling a wide range of administrative responsibilities. Success will come from strong relationship building with internal and external stakeholders. This role requires an individual who can manage multiple priorities and maintain strict confidentiality, work independently with little or no supervision, and possess a thorough understanding of each leader's responsibilities, preferred work methods, procedures, and communication styles. This role requires adaptability and agility to operate in a fast-paced, growth-oriented environment. Self-motivation, curiosity, ownership-mentality, execution and delivery, respect for all and inclusion are required.
Major Areas of Accountability Calendar Management
- Manage and maintain schedules, calendars, meetings and appointments for assigned leaders, ensuring efficiencies, prioritization, and effective communication for all stakeholders.
- Coordinates with Corporate to support regular Finance and Business Review meetings.
- Coordinates logistics including conference rooms, catering, and AV needs.
- Collaborate with executive support team members to ensure alignment across leadership calendars.
Expense and Travel Management
- Coordinates and prepares travel arrangements ensuring efficient travel that aligns with company guidelines.
- Monitors/completes expense reports and routes appropriately and timely.
- Monitor and manage budgets for events, travel, and other administrative expenses to ensure cost effective solutions.
- Process invoices and provide support for the accounting software system.
HR Support and Team
- Proactively work with IU and NA HR team members to identify ways to streamline HR processes, methodologies and practices and leverage technology to increase accuracy, gain efficiencies and bring greater value to Coloplast.
- Manage scheduling and administrative tasks for various cross-functional programs including IU Connectors Program; Lunch with Leadership; Strive Program, etc.
- Supports IU People & Culture team on administrative activities not supported by NA P&C Shared Services model, including leave of absences, milestone anniversary reporting, employee recognition, file management, etc.
- Own new employee onboarding includes preparing welcome gifts, managing new hire surveys, new hire reporting, etc.
- Sets interview schedules as required; assists in travel arrangements for remote candidates.
- Works with key stakeholders to manage office space allocation and seating to ensure adequate space and working arrangements for all as the business grows.
- Actively contributes to the IU team culture of respect, transparency and honesty, inclusion, curiosity, possibility-thinking, collaboration, performance excellence, flawless execution, balance and fun.
Sales Administrative Support
- Supports Sales onboarding and training sessions.
- Ensure new hires receive the required materials and demo products.
General Administrative and Special Projects
- Performs standard, advanced, and confidential administrative duties.
- Maintains confidential and orderly records and files.
- Coordinates, consolidates, edits and distributes monthly/quarterly reports in a specific format.
- Partner with others to complete projects and tasks.
- Assumes accountability for special projects and works through solutions with minimal supervision, which may include supporting needs of other departments or cross-functional initiatives.
- Coordinates any project/task as requested and may serve on project teams.
- Negotiates, plans, and schedules off-site events.
- IU ambassador to NA Events Committee
Other
- Appropriately handles confidential business information in the performance of duties.
- Demonstrate professionalism and confidentiality with leaders and employees.
- Maintain confidential information and trust with leaders and employees.
- Participate in Team meetings and conference calls.
- Complete special projects related to People & Culture.

Basic Qualifications
- High School education is required; college education is a plus.
- Minimum 8+ years of executive support experience.
- Experience owning and supporting HR initiatives.
- Advanced computer skills in Excel, Word and Power Point.
- A high degree of initiative, sound judgment and sensitivity in maintaining confidential materials with discretion.
- Excellent interpersonal skills to deal with people at all levels, in person and over the phone, both within and outside the company.
- Strong attention to detail and excellent verbal and written communication skills.
- Demonstrated ability to be a team player.
- Maintain a positive attitude in a fast paced, high-pressure environment.
- Ability to prioritize and effectively manage workloads.
- Maintain an approachable and professional attitude at work.

- Competitive Compensation: The compensation range for this position is $69,754 - $104,630. Actual compensation is influenced by a variety of factors including but not limited to skills, experience, qualifications, and geographic location. Hired candidates may be eligible to receive additional compensation in the form of bonuses and/or incentives.
