Pay is depending on experience. Minimum is $22.95/hour.

Position Summary

The Office Coordinator supports day-to-day activities of the Facilities Department. Responsible for purchase, distribution, and inventory management of supplies. Assists various projects such as staff moves, remodels, and construction to ensure successful completion.

The following duties are intended to provide a representative summary of the major duties and responsibilities and ARE NOT intended to serve as a comprehensive list of all duties performed by all employees in this classification. Incumbent(s) may not be required to perform all duties listed and may be required to perform additional duties.

Essential Duties and Responsibilities

  1. Manage vendor sourcing, product bidding, cost analysis, and product recommendation for bank wide supply purchasing.
  2. Process supply orders, requisitions, bids, proposals, quotations, purchase orders, and invoices.
  3. Purchase and maintain adequate inventory of bank wide supplies for distribution. Distribute requisitioned materials as requested.
  4. Facilitate Ergonomic Program by completing ergonomic evaluations, identifying issues and resolutions.
  5. Maintain purchasing and supply databases. Conduct periodic inventory to verify accuracy of database records.
  6. Report inventory cost and usage on a regular basis.
  7. Assist Facilities Management with project implementation of staff moves, remodels, facility moves, and new facility buildouts to include:
    • Identify, source, purchase, and distribute supplies;
    • Support the planning, move, and installation of FF&E and supplies;
    • Identify, move, dispose of, or store, FF&E and supplies from facility relocations or closures.
  8. Continually re-evaluate department procedures and create new guidelines based on enhanced efficiency, process improvement, workflow analysis, and service standards.
  9. Assist/Support in day-to-day facilities department activities such as: answering doors and phones, accepting service requests, generating work orders, dispatching vendors, escorting vendors, life safety duties, and key distribution.
  10. Respond appropriately to emergencies or urgent issues which could require responses outside of regular business hours.
  11. Manage bank-wide artwork and Facilities Department key inventories. Complete certifications as required.
  12. Complete online, written and in-person compliance training within established timeframes.
  13. Other duties as assigned.

Qualifications

Education

  • High School Diploma or equivalent.

Experience

  • Three years of supply/purchasing experience required.
  • Banking industry preferred.
  • Project management experience preferred. An equivalent combination of related education and experience may be considered.
  • Related military education/experience may be used as a substitute for education or work experience.

Licenses & Certifications

  • Valid driver's license, clean driving record and reliable transportation.
  • Ergonomic Evaluation Certification preferred.

Knowledge & Communication Skills

  • Basic knowledge of purchasing terminology, standards, procedures and techniques; inventory control methods and procedures; vendor negotiation and bid evaluation techniques; and purchasing document preparation.
  • Ability to build strong internal and external relationships using effective verbal and written communication skills.
  • Active initiative and responsibility for follow-up based on assigned duties.
  • Must be a provider of excellent customer service.
  • Must understand and have the ability to implement applicable compliance requirements.

Analytical & Decision Making Skills

  • Attention to detail and strong analytical skills required for moderately complex and varied tasks.
  • Ability to analyze and project supply needs based on usage history; maintain adequate inventory levels while balancing against available storage; and place and evaluate vendor bids.
  • Must be self-motivated and able to work independently with general direction from supervisor.
  • Position requires workflow coordination and requests for temporary help as needed.
  • Able to prioritize work duties and make purchasing recommendations to management.

Computer/Software/Other Equipment Skills

  • Intermediate knowledge of MS Office Suite, QuickBooks, and web browsers. Ability to operate standard office equipment such as PC, printer, fax/copier, and telephone.

Working Conditions

  • The noise level in the work environment is usually moderate.
  • Work is performed in a professional office environment.
