We are seeking an experienced Assistant Facilities Manager to oversee the operational infrastructure and physical environment of our clients 5-story 160K sq ft corporate campus located in downtown on the east side of Austin. Working closely with the JLL Regional Workplace Manager and the clients Workplace Experience Team, you will ensure optimal facility operations, maintenance protocols, and building systems performance while creating exceptional workplace experiences.

Work Schedule: On-site, Monday-Friday, 8:00 AM to 4:30 PM (slightly flexible) with occasional need to adjust for events/projects. Key Responsibilities:

Technical Facilities Operations

  • Oversee all building systems including HVAC, electrical, plumbing, fire/life safety, and security infrastructure
  • Implement preventative maintenance programs and monitor building automation systems
  • Ensure efficient space utilization and manage facility-related equipment inventories
  • Conduct regular building condition assessments and develop remediation plans
  • Lead energy management initiatives and sustainability practices

Workplace Experience Support

  • Collaborate with the Workplace Experience team to create optimal working environments
  • Provide facilities expertise and logistical support for company events, town halls, and special programs
  • Coordinate space reconfigurations for workplace activities and team gatherings
  • Ensure timely setup and teardown of event equipment, furniture, and AV systems
  • Support workplace initiatives by maintaining environments that enhance employee experience
  • Troubleshoot facilities-related issues during events to ensure seamless execution

Facilities Team Management

  • Supervise maintenance technicians, engineers, and facilities support personnel
  • Coordinate training on building systems, equipment operation, and safety protocols
  • Direct maintenance workflows and prioritize critical systems repairs
  • Establish performance metrics for facilities team members and technical contractors

Vendor & Contract Management

  • Manage service contracts for critical building systems and equipment
  • Oversee preventative maintenance schedules with technical service providers
  • Evaluate vendor performance against SLAs and technical specifications
  • Negotiate service agreements focusing on operational performance metrics
  • Manage relationships with building engineers, maintenance contractors, and security vendors

Compliance & Safety

  • Ensure compliance with building codes, OSHA regulations, and environmental standards
  • Conduct facility risk assessments and implement technical safety programs
  • Maintain technical documentation for all building systems and equipment
  • Lead emergency response procedures for facility-related incidents
  • Manage fire/life safety systems testing and compliance certification

Project Management

  • Direct facilities improvement projects and systems upgrades
  • Oversee technical aspects of space modifications and infrastructure enhancements
  • Provide engineering expertise for workplace renovations and equipment installations
  • Develop technical specifications for facilities projects and capital improvements

Financial Management

  • Analyze facilities operating expenses with focus on mechanical systems costs
  • Develop maintenance budgets based on equipment lifecycle planning
  • Identify energy efficiency opportunities and building system optimization
  • Prepare capital expenditure requests for critical infrastructure investments
Key Requirements:
  • High School Diploma or equivalent
  • 3+ years of hands-on experience managing commercial building operations and systems
  • Demonstrated knowledge of building mechanical/electrical systems and maintenance practices
  • Experience supporting workplace events and space activations
  • Experience supervising maintenance technicians and facilities personnel
  • Proficiency with computerized maintenance management systems (CMMS)
  • Understanding of building codes, OSHA regulations, and facility compliance requirements
  • Strong technical problem-solving skills and hands-on facilities management approach
  • Certifications such as FMP, CFM, or technical systems credentials preferred
  • Military service or higher education in a related field such as business, hospitality, facility/property management is desirable
