JOB DESCRIPTION

JOB SUMMARY:

The HR Coordinator supports the HR Department with administrative and operational activities, including recruitment, and on-boarding and they manage employee records, assist with payroll, and help with various HR processes and training programs.

ESSENTIAL FUNCTIONS:

1. Supports Recruiting by scheduling interviews, tracking the progress of new hires, entering temporary employees in the data management system, and submitting requests for job site access.

2. Supports the hiring process by initiating background screens and by scheduling other post offer tests.

3. Organizes electronic onboarding, orientation sessions, and training sessions with new hires.

4. Ensures completion and compliance of onboarding documentation.

5. Conducts E-Verify on all new hires, maintains current and terminated I-9 forms and completes I-9 audits at least annually.

6. Assists with payroll administration by processing requests for paid time off and tuition reimbursement.

7. Processes verifications of employment, remote work authorizations, address changes, email signature changes, and equipment request forms.

8. Tracks and processes other HR forms, documents and status changes that come through the EAN and HR email distribution groups.

9. Assists with updating job descriptions, entering new job titles and their descriptions into data management system and maintaining the job descriptions folder.

10. Maintains personnel files, schedules events and meetings, and prepares HR documents, reports, and presentations as needed.

11. Responds to internal and external HR-related inquiries or requests.

12. Assists with the coordination and facilitation of employee training programs and helps organize training sessions and seminars.

13. Forwards detailed descriptions of phone messages and call back information to intended recipients.

14. Maintains knowledge of current internal HR policies and procedures, best practices, and government and employment law requirements.

15. Ensures compliance with labor regulations and internal policies

16. Contribute to HR projects and process improvements as needed.

17. Completes tasks assigned by HR Manager and/or HR Director

18. Performs other duties as assigned.

JOB REQUIREMENTS

QUALIFICATIONS:

1. Diploma or Bachelor's degree in Human Resources, Business Administration, or related field.

2. 1-3 years of experience in an HR support or administrative role.

3. Knowledge of HR principles and practices; familiarity with labor laws is an asset.

4. Proficiency in Microsoft Office Suite and HRIS platforms.

5. Strong organizational, time management, and multitasking abilities.

6. Excellent communication and interpersonal skills.

7. High level of discretion and confidentiality.

PHYSICAL REQUIREMENTS:

1. Ability to lift 20 pounds regularly and up to 50 pounds or more occasionally safely

2. Ability to sit and/or stand for long periods of time, bend, reach and move about the facility

This is not a physically demanding position and may accommodate most physical disabilities. There may be occasional lifting of office materials or files weighing not more than 20 pounds. Physical dexterity may be required when operating calculators, copiers, computers and/or other typical office equipment.

Known Hazards: Carpal Tunnel Syndrome

ENVIRONMENTAL CONDITIONS:

This position is in a production/office environment. There is exposure to hostile environments, loud noises, hazardous chemicals/fumes and airborne particles, smoke, extreme temperatures moving mechanical parts: high, precarious places.

A person in this position is required to wear the appropriate PPE during work-site visits, including, but not limited to:



  • Hard hat
  • Ear plugs or attenuator
  • Safety shoes
  • Dust mask or respirator Gloves
