Job Overview & Responsibilities
The Executive Assistant for the Global Consulting Services Organization is responsible for performing advanced, diverse, highly trusted, and confidential organizational and administrative duties in support of the Executive Vice President, Consulting Services. This role handles complex duties, working administratively on matters of importance for a global consulting services business. The Executive Assistant liaises with other executives in the consulting organization and across the larger Mythics enterprise in carrying out the assigned administrative duties. This role reports to the Senior Executive Assistant to the CEO and will provide back-up and support duties as required for absences. In a trusted partnership with the assigned executive, this role works under only general supervision, exercising independent judgment in performing the duties of the position. Responsibilities and Essential Duties:
Provide full administrative and organizational support to the Executive Vice President, Consulting Services, facilitating smooth EVP office operations and seamless execution of all consulting business activities.
- Manage complex calendar management, and monitor and maintain regular email communications, both during and after business hours.
- Monitor and manage the EVP Consulting Services electronic mailbox after discussing the cadence and process.
- Handle travel arrangements to include booking flights, hotels, car transfers, and handling last-minute changes, which may need to be resolved after regular business hours.
- Manage expenses: organize receipts and input in expense management system in a timely manner as specified by the Corporate Travel and Expense Policy,
- Exercise discretion with highly confidential information and exercise appropriate judgment and grace with all parties.
- Generate, revise, and proofread letters, documents, presentations, reports and correspondence, to support the global consulting services organization.
- Review, assess, prioritize and monitor the status of pending items, follow up, and keep the EVP of Consulting Services informed. Use project management software such as Trello boards or other approved software as necessary to facilitate tracking, monitoring, and reporting.
- Follow-up with others in support of the EVP Consulting Services' role on action items or business needs.
- Develop an understanding of the Consulting Services organization to be able to anticipate and understand upcoming or imminent needs and take administrative actions without needing guidance or prompting. These include, but are not limited to, the following: 1. Preparing for monthly CS Business Review call 2. Fortnightly EC updates 3. Quarterly CS All Hands 4. Weekly CS executive calls 5. CS team member mandatory trainings tracking, reminding, and reporting 6. Performance appraisal and merit increase cycle tracking, reminding, reporting and ensuring completion by various CS leaders for the organization 7. Follow-up with individuals, track, and drive preparation of meeting materials for upcoming important meetings for the EVP CS and own the creation of polished presentation materials.
- Plan and prepare meetings and events for the consulting organization: logistics, budget, agendas, materials, presentations, catering, etc., including managing virtual and in-person technology within conference rooms and platforms such as Microsoft Teams, Zoom, and other similar platforms.
- Support the EVP in organizational communications, and other special projects as assigned.
- Liaise between the EVP and other company executives for the purpose of meeting schedules and follow-up items.
- Support other consulting executives as determined by EVP.
- Provide back-up and support to the Senior Executive Assistant to the CEO, covering for vacations and other absences due to work events such as board meetings.
- Protect organization's value by keeping information confidential recognizing and demonstrating the high degree of trust that comes with supporting an executive.
- Contribute to overall operational excellence and represent the company in professional manner.

Qualifications
Minimum Requirements:
- Bachelor's degree or equivalent work experience.
- Minimum 5 - 7 years' experience in an executive administrative role supporting one or more executives/C-level.
- Prior work experience in the management of confidential information.
- Prior work experience in event organization and management.
Knowledge / Skills / Abilities (KSAs):
- Demonstrated experience in collaborating with executives in a professional, positive manner.
- Exceptional interpersonal and communication skills; strong written skills.
- Detail-oriented, with the ability to work independently and collaboratively as necessary with various teams and individuals.
- Demonstrated advanced knowledge and use of MS Outlook Calendar, MS Office Suite, and data management tools.
- Ability to manage multiple tasks and deadlines, establish priorities and make sound judgments often in a fast-paced environment, with the flexibility and attention to detail needed to manage a heavy workload and rapidly changing contexts.
- Extremely organized and has an exceptional response rate and willingness to be available after business hours on occasion.
- Ability to filter high volume of information and maintain the highest level of confidentiality due to access to sensitive data and information.
