Summary

The HRIS Specialist supports the Human Resources department by ensuring compliance with applicable laws and regulations and providing system-related support across all divisions of Goodwill Keystone Area (GKA). This role is primarily responsible for the administration, maintenance, and continuous improvement of the HRIS system. The HRIS Specialist collaborates closely with the HRIS Coordinator to streamline HR processes, ensure data accuracy, and deliver actionable insights through data analysis.

Duties and Responsibilities



  • Maintains and updates employee records in GKA's HRIS system, ensuring data accuracy, consistency, and optimal system performance.
  • Develops and maintains standard operating procedures (SOPs) and job aids to promote consistent and efficient HRIS processes; identifies opportunities for process improvement and automation.
  • Monitors HRIS data to ensure compliance with HR policies and regulatory requirements; documents findings and escalates issues as needed.
  • Manages the self-onboarding process for new hires, ensuring timely completion and accuracy of candidate information; follows up with hiring managers to resolve discrepancies in the Applicant Tracking System.
  • Conducts background checks for new hires using a secure platform; evaluates results in accordance with GKA's hiring standards and notifies the HR team of any concerns.
  • Processes employee changes in the HRIS system, including job transfers, wage adjustments, miscellaneous updates, and terminations; verifies completeness and accuracy of submitted information.
  • Responsible for maintaining records of all employees under the age of 18. Ensures valid work documentation is presented during self-onboarding process and follows all Child Labor Act regulations. Notifies school district personnel of any minors starting or ending employment with GKA.
  • Monitors and verifies compliance of new employee I-9 documentation and any necessary reverification of I-9s.
  • Prepares and enters bonus information for payroll purposes. To include but not limited to: Years of Service bonus, Referral bonus, Employee of the Month, Tuition Reimbursement.
  • Manages digital employee files within HRIS, ensuring proper documentation, confidentiality, and regulatory compliance.
  • Serves as the support point for HRIS-related issues, to include new client account creation, password updates, etc. Troubleshoots HRIS issues and serves as a point of contact for user inquiries.
  • Attends meetings, prepares reports and performs routine duties required of the position. Implements special projects as assigned.
  • Provides excellent customer service to both internal and external customers.
  • Promotes an environment of workplace safety. Ensures that duties are performed in a safe manner and safety requirements are adhered to.
  • Communicates progress, problems, and concerns to the HRIS Coordinator.


Qualifications

Education and Experience



  • Associates Degree in Business Management or relevant field; or HSD/GED and two (2) years' relevant experience which enables the individual to meet the standards and expectations of the position.
  • Two (2) years' experience and working knowledge of performing HR database records/tasks required.
  • Experience in HR/HRIS Administration preferred.
