Position Summary
The Administrative Assistant II provides comprehensive, high-level administrative support to the Human Resources and Executive Office Manager. This role demands a high degree of independence, exceptional attention to detail, and the ability to exercise tact, diplomacy, and discretion. Reporting directly to the HR and Executive Office Manager, the incumbent plays a key role within the staff support team, delivering administrative and event coordination support for the Dean, Associate Deans, and the broader Dean's Office. The position requires frequent collaboration with colleagues across the college and university to ensure seamless and efficient operations.

Administration Support:

  • General administrative duties/support tasks related to the day-to-day operations of the executive office.
  • Work with the office manager on implementing processes and procedures for HR, FA, and general office workflows.
  • Maintain CED listservs and communicate general announcements to appropriate CED listservs.
  • Reserve & approve the Dean's conference room requests.
  • Reserve CED classroom spaces for CED courses and events.
  • Scheduling large and small group meetings, sending invites for faculty, staff, committee meetings, etc.
  • Maintain files/records for the dean's office, filing, organizing, and retrieving.
  • Oversee the student group funding allocation process.
  • Serve as the CED's representative on UGA's Staff Council, CED committees, and workgroups as needed.
  • Manage the Course evaluation process: initiate, monitor, pull, and file course evaluations each semester for all faculty and courses taught within CED.
  • Faculty meeting minutes: attend, record, and distribute meeting minutes for monthly faculty meetings.
  • Run monthly staff meetings in coordination with the Office Manager.
  • Back up to the front desk. Work closely with the front desk to coordinate efforts, lunches, and time away for coverage.
  • Admin support for the CED's lecture series.

Duties/Responsibilities
HR/Faculty Affairs:

  • This employee will create faculty and staff positions of all types within the CED and will participate in searches associated with both faculty and staff positions, including creating postings and placing ads in national publications.
  • Completes the termination requests and runs and reconciles reports to ensure that terminated employees are shown as inactive (faculty, staff, student workers, graduate assistants, part-time faculty, and other temporary employees.) This employee will serve primarily as a backup to the head of Human Resources for CED.
  • Manage position updates, reclassifications, and terminations for faculty and staff positions within CED.
  • Manage hourly student/temp hires. Hire and terminate hourly/student and temporary workers. Collect and submit timesheets bi-weekly. Approve/reconcile bi-weekly payroll.

  • FWS liaison - Hire/terminate FWS students, place ads in Handshake, interview, hire in UGA jobs, and track hours.
  • Process visa applications for international scholars and faculty.
  • Process transactions/tasks as assigned by UHR and/or the head of Human Resources.Attend meetings for HR and OFA as needed for the Office Manager.

Associate Deans/Dean Support:

  • Input travel and expense reports for the dean.
  • Assist the associate deans with various administrative tasks, projects, and reports.
  • Assist with administrative processes related to faculty annual reviews, program coordinator reviews, promotion, tenure, and post-tenure reviews.
  • Create forms, polls, and meeting queries for various projects and tasks.

Events and Special Projects:

  • Lead CED convocation committee with undergrad and grad advisors.
  • Faculty/staff events: holiday parties, meetings, beginning and end-of-year and other events for the dean's office
  • Catering/food orders, restaurant reservations, hotel and travel arrangements for visiting lecturers, faculty search candidates, and other CED guests.
  • Work with the vendors to ensure direct billing for CED, process payments after events, and work with the business office to submit all information required for payment processing.
