Purpose of Position |
The Sr. Coordinator provides administrative and financial support for the school with the most extensive and/or complex administrative needs in the college and the Informatics Student Success and Advising Center (iSSAC). This role manages the entry of course schedules, processes personnel action requests (PARs), oversees financial transactions, and maintains and reconciles budgets, including grant and foundation accounts. Additionally, the position is responsible for faculty access in Faculty Success, personnel file management, event coordination, and ensuring budget dashboards are regularly updated and reconciled.
Working closely with the Director of Budget and Operations, this role supports faculty onboarding, prepares Board of Regents materials, and shares responsibility for college inventory management. This position also plays a key role in facilitating internal and outreach activities, contributing to the overall efficiency and effectiveness of school and college operations. |
Primary Responsibilities |
Has primary responsibility for providing administrative and financial support for the school with the most extensive and/or complex administrative needs (determined at the start of each year based on addition/elimination of programs; processes, etc.) and secondary responsibility to the other school within the college. Responsibilities include, but are not limited to entering course schedule; processing departmental PARs (pt, overloads, summer grant, summer instruction, status change, student, etc.); processing course entry permits, assisting with travel requests/expense reports; initiating maintenance/work requests; initiating purchases (PR's, pcard, etc.); reconciling school pcards/ensuring other cards are reconciled by owners; coordinating grant accounts; day-to-day maintenance of school budgets, including foundation accounts; assisting with printing needs, monitoring student employee budget; taking minutes at school meetings as requested; generating reports as needed, etc.
Responsible for providing administrative support for iSSAC, including processing of PARs (staff, faculty, student, etc.); initiating purchases (PR's, pcard, etc.); assisting with travel requests/expense reports; initiating maintenance/work requests; reconciling pcard; day to day maintenance of budget; monitoring student employee budget, generating reports as needed, etc
Responsible for Generating
BOR Materials for Director of Budget and Operations.
Shares responsibility with Academic Coordinator for managing and maintaining college inventory.
Responsible for initiating user access in Faculty Success for all new college faculty, and assisting Director of Budget and Operations with onboarding of new faculty.
Maintains and manages personnel files for School of Computing and Analytics and School of Media and Communication.
Responsible for processing purchase requisitions, sponsor invoices, contracts, etc.for all major college events and assisting with arrangements for events in the college, iSSAC, the School of Media and Communication, and the School of Computing and Analytics, including but not limited to
SANGU, the annual Cyber Symposium, Oink, and other internal and outreach activities as requested. Responsible for providing primary administrative support for external grants.
Responsible for reconciling budget dashboards bi-weekly, ensuring fund centers purchases are posted for all
COI fund centers.
Ensure cross-training with the Academic Coordinator to allow for administrative backup in the vent of absences, vacations, etc. |
