SUMMARY

Under moderate supervision, processes order, maintains a database of orders and customer information, and communicates with customers about order status. Supports customers throughout the ordering process. Is responsible for additional reports and projects as assigned.

PRIMARY DUTIES AND RESPONSIBILITIES



  • Communicates promptly and effectively with customers by telephone, email, and face to face.
  • Inputs new customer information and generates new sales orders using the Inventory Management System.
  • Maintains customer orders database, updating order status throughout the day and informing customers and internal departments accordingly.
  • Sends order acknowledgements and shipping notifications to customers and maintains customer order folders.
  • Works with manufacturing to ensure production goals are met, shipping to ensure items are shipped as specified and timely, and QC to ensure timely inspection prior to shipping.
  • Audits customer order files on a bi-weekly basis to ensure order accuracy and coordinates resolution if necessary.
  • Performs other administrative tasks and projects such as tracking activation instruction inventory and ordering, creating a spreadsheet to track customer contract details, sending mass customer notifications, and filing.
  • Follows company policies and practices as outlined in the Employee Handbook, AWAIR and/or applicable employment agreement. Follows safety guidelines and procedures in accordance with the job.
  • Performs additional duties as assigned.



JOB REQUIREMENTS



  • Education: Bachelor's degree, additional experience may be substituted for degree.


  • Minimum of 1-2 years' experience in Customer Service.
  • Proficiency in word processing, Microsoft Outlook, Excel, Word and PowerPoint.
  • Possesses exemplary written and verbal skills, including the ability to communicate professionally and effectively both externally and internally.
  • Ability to fill-in for Customer Service Manager as needed.
  • Exquisite attention to detail, ability to multi-task and effectively prioritize workload.
  • Willing to work in a very dynamic cultural environment and be a team player.



PREFERRED QUALIFICATIONS



  • Familiarity with inventory management systems.
  • Intermediate to advanced Excel skills.
  • Ability to analyze data and problem-solving skills.

  • Must have the ability to complete assignments within the timeframe specified by the Manager.
  • Must be flexible regarding working hours. Must be able to work evenings and weekends, with or without advanced notice.
  • Must be able to operate in a fast-paced environment and handle multiple projects simultaneously.



PHYSICAL REQUIREMENTS AND WORKING CONDITIONS



  • While performing the duties of this job, the employee will be occasionally required to execute standard physical activities within the facility areas (i.e. stand, walk, sit, use hands/fingers).
  • While performing the duties of this job, the employee will be occasionally required to execute non-standard physical activities within the facility areas (i.e. climb or balance, stoop, kneel, crouch).
  • Ability to lift and/or move up to 10 pounds and occasionally lift and/or move up to 20 pounds.
  • This position requires repetitive hand/wrist activities.
