What's the role?
The role of Onboarding Specialist is responsible for coordinating the full talent life-cycle including onboarding, relocation, integration, internal moves, reboarding and offboarding. This position contributes to developing and implementing strategies to support continuous process improvements and drive consistency across the organization while partnering closely with hiring managers, HR Directors, Talent Acquisition, and the Executive Management Team to onboard and offboard team members; working with external vendors, as required, to successfully execute the duties of the job. This position requires a high level of confidentiality and the ability to interact with team members at all levels.

What does the role involve?
Onboarding - Offboarding:
- Function as an onboarding/offboarding subject matter expert for all Hilti North America (HNA)
- Drive focused and consistent processes, ensuring team members have an engaging first impression experience, including a comprehensive integration plan and peer mentor
- Guide both the hiring manager and new employee through the pre-hire, onboarding and integration phases, keeping all parties informed at all stages by providing clear and timely communication and acting as the primary contact throughout
- Collaborate with hiring manager to determine needs and manage order process direct for all relevant Hilti items needed for their team member (cell phone, business cards, rental cars, etc.)
- Instrumental in team member productivity for first day in role by ensuring all equipment and actions are completed timely (IT equipment, office setup, credit card, company vehicle, SAP access, basic training enrollment, sales realignments).
- Serve as a liaison between the team member, hiring manager and all relevant departments
- Provide guidance to HR partners, generalists, and recruiters by providing information, resources, and coaching to ensure efficiency, consistency, and a streamlined approach within HR
- Work closely with the International Assignment Specialist to execute all international onboarding, integration and offboarding activities for international team members in/out of HNA
- Track new hire and hiring manager satisfaction results, analyze feedback and make improvements when necessary
- Track all onboarding and offboarding data for monthly KPI reporting purposes (onboarding pipeline, scorecard, Integration Success Rate, etc.)
- Analyze operational practices, identify process opportunities, create solutions, and implement changes to increase productivity
- Initiate and monitor all domestic and cross-border relocations through Cartus and act as a liaison between Cartus and team member
- Facilitate offboarding process by communicating with manager, team member, and their customers to ensure seamless transitions
- Responsible for updating process and policy documentation; and develop and maintain all departmental training documentation
Compliance:
- Ensure compliance with federal law and Homeland Security regarding the l-9 and E-Verify process
- Administer the background process through HireRight for all team members in both the United States and Canada, requiring professional knowledge of hiring procedures in both countries. Required to make informed decision on whether to move forward based on adjudication guidelines.
- Ensure Internal Control compliance is in place through the completion of the Team Leader Offboarding checklist for asset collection, final expense report, and final timesheet
- Maintain all pertinent team member documents in the appropriate personnel file
- Additional duties, as assigned

What you need is:
- Associate's Degree required
- Bachelor's Degree, preferred
- Minimum two (2) to four (4) years' related professional administrative experience, preferred
- Excellent communication (verbal, written, interpersonal) skills, required
- Work requires outstanding multitasking and project management ability; must be able to manage multiple tasks and prioritize in a fast-paced environment
- Ability to effectively communicate and build relationships with all levels of employees and managers across a complex, fast-moving organization, including remote and global teams
- Ability to handle sensitive and confidential information, required
- High level of motivation and customer service focus, required
- Must demonstrate strong organizational skills with high attention to detail and accuracy
- Strong problem solving and decision-making skills required
- Possess a continuous improvement mentality

- Proficiency in Word, Excel, Outlook, and PowerPoint
