Position Summary: The Legal and Compliance Executive Assistant will provide high-functioning executive administrative support to the General Counsels, the Chief Compliance Officer and the Legal and Compliance Teams keeping the executives productive by managing and organizing workflow, calendars, travel, expenses and other projects and administrative processes as well as. Demonstrated ability to effectively and professionally interface with high level executives, business associates, and employees. Perform in a fast-paced environment with ability to operate with changing priorities.

Responsibilities: Essential Duties

  • Provide executive administrative support for the General Counsels and Chief Compliance Officer:

    • Manage complex, fast-changing calendar, using sound judgment in mapping out day-to-day meetings, events, and responsibilities.

    • Manage travel and expenses.

    • Assist with letters, PowerPoint presentations, Excel charts, Sharepoint sites & other MS Office applications.

  • Legal and Compliance Teams Administrative Support:

    • Effectively provide administrative the Legal and Compliance departments.

    • Create executive communications related to Legal and Compliance departments activity.

    • Create processes to improve communication, legal workflows & dept. organization.

  • Strategic Meeting Support:

    • Define, implement, and manage an on-going meeting operating cadence for the General Counsels and Chief Compliance Officer, including 1-1s, staff & department meetings, strategic reviews, and communication.

The job function listed is not exhaustive and shall also include any responsibilities as assigned by the Supervisor from time to time.

Expertise: Knowledge & Skill Requirements:

  • Experience with scheduling, managing executive daily activities, and delivering results in a cross-functional environment

  • Ability to think creatively and be a problem solver, adaptable and results-driven while providing excellent organizational skills

  • Demonstrated ability to support executive leadership with advanced written and verbal communication skills

  • Highly motivated, self-starter with strong leadership, planning, organizational, multi-tasking and project management skills.

  • Excellent technology skills, including Microsoft Word, Excel (pivot tables, charts, formulas), SharePoint, Microsoft Forms, and Power Point. Ability to learn other legal operations and data analytics tools

  • Proactively plan to achieve timely results of assignments and projects by following instructions and taking directions through to completion.

  • High-level stakeholder engagement and ability to collaborate and build relationships with all levels of leadership

  • Proven ability to handle confidential information with discretion.

Expertise: Qualifications - Experience/Training/Education/Etc.:

Required:

  • Five or more years of legal or executive administrative support experience or executive assistant or similar experience.

  • High school diploma/GED, associates or technical degree preferred supplemented by specialized course work or training in the use of word processing, spreadsheet, presentation, and database software application programs.

  • Must have excellent organizational, communication and interpersonal skills.

  • Ability to prioritize projects, take initiative and work independently.

  • Demonstrated ability to embrace and champion change

  • Regular and predictable attendance

Desired:

  • Previous experience in fast paced environment, preferably in a large company corporate legal or compliance departments or law firm legal department

  • Experience supporting C-suite leaders
