JOB DESCRIPTION AND POSITION REQUIREMENTS:

Transportation Services is accepting applications for a Fleet Vehicle Manager to join our team.

The Fleet Vehicle Manager will oversee the management and maintenance of Transportation Services' fleet, ensuring efficiency, compliance with federal and university policies, and exceptional service delivery. This is a dynamic role that combines technical expertise, operational oversight, and process improvement. This position supervises two full-time administrative staff, works closely with the Fleet Services Manager and a team of Technical Service staff, and reports to the Associate Director for Transportation Services.

Key Responsibilities:

  • Fleet Vehicle Management: Administer a 450-vehicle fleet utilized for short-term and long-term rentals by faculty and staff for university business.

  • Fleet Procurement & Disposal: Manage purchasing and disposition of vehicles, ensuring compliance with federal guidelines (75% alternative fuel vehicles in metropolitan areas).

  • Maintenance Oversight: Schedule and monitor preventive and unscheduled maintenance.

  • Administrative Excellence: Create, track, and close work orders; pay vendor invoices; and manage accounts such as EZPass and SIMBA/SAP.

  • Incident Management: Oversee vehicle recovery, insurance claims, and accident reporting in coordination with Risk Management.

  • Budget Management: Supervise the Fleet Reserve Budget, complete transfer requests, and prepare financial memorandums and mileage reports.

  • Fleet Optimization: Analyze utilization to determine appropriate fleet size and create specialized vehicle rates.

  • Policy & Compliance: Develop and update Standard Operating Procedures (SOPs) and complete annual DoE EPAct and tax-related reports.

  • Staff Training & Support: Train new staff and provide coverage as needed.

  • Process Improvement: Identify process deficiencies and propose enhancements to improve operations.

  • Customer Engagement: Monitor customer feedback via Qualtrics surveys to maintain and enhance satisfaction.

Education and Experience:

Minimum is an Associates degree plus six (6) years of relevant experience. Or, an equivalent combination of experience and education.

  • Proven leadership abilities with demonstrated experience in guiding teams and decision-making.

  • Strong proficiency in computer systems for effective data management.

  • Knowledge of inventory control, vehicle utilization, maintenance work orders, and fleet management processes, including integration with automated data systems.

  • Experience in developing budgets and calculating change-out rates in a transportation-related environment.

  • Ability to maintain professionalism while working under pressure with diverse groups, including faculty, staff, students, vendors, and the public.

  • Capability to quickly learn and effectively use university systems for requisition entry, payroll, and financial management.

  • Advanced skills in Microsoft Office, particularly Excel and Word.

  • Direct experience in fleet management

The salary range for this position, including all possible grades is:

$68,200.00 - $102,300.00
