Service Project Coordinator

Imperial Sprinkler, a partner of Heritage Landscape is seeking a proactive and highly organized Field Services Pump Project Technician to oversee and manage retrofit irrigation pump system projects. The ideal candidate will be responsible for handling all aspects of pump system installations and upgrades, including quotes, vendor management, dispatching technicians, inventory control, and ensuring project completion on time and within budget. This role will also include the management of related contracts, bonding, and compliance requirements, as well as coordinating special projects with senior leadership. Pay range: $32.50 (DOE)

Key Responsibilities:

Pump Quotes & Vendor Management:

• Generate and review pump system quotes for retrofit projects.

• Communicate directly with pump vendors to obtain pricing, specifications, and ensure timely delivery of products.
• Issue and manage purchase orders to vendors for pump systems and related equipment.

Shipping & Receiving:

• Oversee the shipping and receiving of pump products, ensuring accurate and timely delivery to project sites.
• Track shipments and verify receipt of products in accordance with project timelines.

Inventory Management:

• Maintain an up-to-date inventory of pump-related parts and materials.
• Ensure that all necessary components are available for retrofit projects and manage stock levels to avoid delays.

Field Service & Dispatch:

• Schedule and dispatch pump technicians for retrofit installations, repairs, and maintenance work.
• Provide follow-up with customers to confirm technician arrival times, address concerns, and ensure satisfaction with work performed.

Project Documentation & Reporting:

• Maintain and track all contracts related to irrigation pump systems (ITRs) and ensure compliance with bonding requirements.
• Prepare and generate weekly, monthly, and quarterly reports for pump-related work, including project status, budget tracking, and field service completion.

Budget Tracking & Purchase Orders:

• Assist with monitoring project budgets, ensuring costs for parts, labor, and services stay within allocated limits.
• Issue and track purchase orders for pump parts and services, ensuring proper documentation and receipt of items.

Risk Management & Compliance:

• Ensure compliance with all COI (Certificate of Insurance) requirements for pump-related projects.
• Address any issues or risks in the field related to the retrofit work, such as equipment shortages, delays, or safety concerns.

Closing of Orders:

• Manage the closing of orders, ensuring that all tasks are completed, final invoices are processed, and any outstanding issues are addressed.
• Special Projects:
• Work directly with Alejandro on special projects related to irrigation pump systems and provide administrative and operational support.

Direct Client Communication:

• Serve as the main point of contact for clients, keeping them informed about project progress and any changes to the schedule or scope.
• Provide technical support and troubleshooting for clients regarding retrofitted pump systems.

Education/Experience:

• High school diploma/GED and/or equivalent work experience.
• Experience with Irrigation/Landscaping/Pool/Aquatics products a plus.
• Service Pump Technician experience
