Job Summary:
|
The Office of Medical Education (OME) Business Services Program Manager has a broad range of responsibilities including the analysis and review of assigned program's finances, business processes and procurement. This position will initially and primarily support the Graduate Medical Education (GME) residency program on the domains of finance and contracting and support additional OME education programs on the domains of procurement and invoice approvals. In collaboration with faculty and staff leadership, this position provides input and ongoing support of the GME program's financial initiatives, including but not limited to enhancing budget processes; mapping and enhancing contracting, billing, invoicing and reconciliation processes; and developing and maintaining A2E financial reporting. This position will also provide procurement services including overseeing OME's e-procurement activity, approving invoices, and ensuring compliance with policies and procedures. This position will build strong relationships and collaborate with leadership, faculty and staff across the OME, guide and support change and have excellent communication and training skills. Key Responsibilities:
- Build relationships across the Office of Medical Education and with leadership, faculty and staff. Guide and train others.
- Map processes as it relates to contracts, billing, invoicing and related to budgets. Develop and maintain workflows and standard operating procedures.
- Oversee accounts receivable processes and procedures. Track AR and report upon AR activity at month-end.
- Reconcile billing against actuals across salary, benefits, non-personnel operating, overhead and other billing variables, which may be reconciled monthly, quarterly or annually.
- Oversee amended invoices where required and to ensure financial activity adheres to generally accepted accounting principles and University policies.
- Provide financial analysis including using the School of Medicine's A2E database to support tracking budget to actuals and reporting upon financial activity throughout the fiscal year.
- Use data from the human capital management (HCM) system, MedHub, and other software systems to compile personnel rosters and to support the analysis of budget to actuals and for forecasting purposes.
- Attend finance meetings and present upon financials as requested, included but not limited to providing reporting on revenue budget to actuals, expense budget to actuals, position budget to actuals, AR and cash.
- Assist in the input and development of data models to analyze payroll and financial data.
- Oversee and advise on procurement policies and procedures across the business services team. Track contracts and renewals, report upon e-procurement activity, and guide teammates through renewals as needed.
- Track outstanding payments owed to suppliers and approve invoices on a weekly basis.
- Provide ad hoc support as requested. Participate in professional development.

Work Location:

Hybrid - this role is eligible for a hybrid schedule of 3 days per week on campus and as needed for in-person meetings. Additional on-site days may be required as needed. Please see the campus-wide policy for additional information.

Qualifications:
|
Minimum Qualifications:
- A bachelor's degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.
- At least four (4) years of professional level experience, in which duties must have included accounting, finance, procurement, contracts or analytics which includes one (1) year in change management best practices.
A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis. Applicants must meet minimum qualifications at the time of hire. Preferred Qualifications:
- A master's degree in business, public administration, public health, health care, accounting, finance, library science, or a directly related field from an accredited institution.
- Experience working in graduate medical education or an academic medical setting.
- Experience analyzing complex data sets using advanced techniques in Excel or related statistical software.
- Experience documenting policies and procedures.
- Experience as a team lead, as a subject matter expert or as a lead resource to train others and particularly through change.
Knowledge, Skills and Abilities:
- Proven ability to learn and interpret policies and procedures.
- Ability to build and maintain effective working relationships with employees at all levels throughout the institution.

Anticipated Pay Range:
|
The starting salary range (or hiring range) for this position has been established as $70,551 - $89,741. The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level. Your total compensation goes beyond the number on your paycheck.
