Required Qualifications (as evidenced by an attached resume): Bachelor's degree (foreign equivalent or higher). Four years (4) of full-time experience in a higher education setting or healthcare system setting. Experience managing clinical placements.

Preferred Qualifications: Master's Degree (foreign equivalent or higher). Supervisory Experience. Experience in a higher education setting working within programs of the Health Sciences. Experience working with a clinical placement management system. Proficient in reviewing contracts and adhering to contract conditions for academic programs. Experience collecting and evaluating compliance documentation for students of the Health Sciences. Experience with communicating with clinical partners and external health systems.

Brief Description of Duties:
The Assistant Director, Clinical Contracts and Placements will report directly to the Assistant Dean, Administration and Finance of the Stony Brook University School of Nursing. Works closely with the Associate Deans to facilitate clinical site procurement to meet the experiential learning needs of students. The incumbent, along with their team, will help to develop, refine, and implement a clinical contract and placement process within the SON that is both effective and compliant and meets the needs of our students, our partners, and our community. The Assistant Director must demonstrate the ability to communicate with clinical partners and external health systems. Excellent oral and written communication skills are essential skills to this role.

Clinical Contracts:

* Leads the process to reach out to new clinical sites in an effort to form partnerships and widen clinical options for students. Ensures we are also matching our geographical area to that of our current student population.

* Maintain relationships with our clinical partners by sending communications to ensure placements for the next semester and to thank them for participation in the previous semester.

* Conducts the final review of contracts received from clinical sites in preparation for the HSC Chief Contracts Officer for negotiation of contracts consistent with the School and SUNY policies.

* Works closely with the HSC Chief Contracts Officer and various clinical sites to review and facilitate contract amendments, revisions, and renewals.

* Develops and maintains an audit file for each contract which includes original contract, all correspondence, changes/deviations, amendments, and Certificates of Insurance.

* Identifies clinical site requirements and "exceptions" for each location, and communicates clinical entry requirements to instructors and students in a timely manner.

* Creates records and finalizes updates to records of "exceptions" and special requirements for clinical placement sites.

* Final SON review of the paperwork for Certificates of Insurance with SUNY Central and forwards to clinical sites as necessary.

* Final review of summary data and reports on contracts for School and accreditation and regulatory purposes.

* Develops and proposes recommendations on improvements to the contract process including the computerized applications that support the process.

* Develops and maintains a tracker of all contracts and provides verbal and written status update reports related to the contract processes to leadership as requested.

* Develops and maintains a catalog of contracted sites by region and program for students to choose their clinical placements.

Clinical Placement Process:

* Develops instructional material related to the clinical placement process for orienting students.

* Responds to student and faculty inquiries regarding specific clinical placement requests and specific aspects of the clinical placement process.

* Oversees the clinical placement workflow process as the second point of contact for clinical placement requests.

* Reviews each request for accuracy prior to moving the request on to the next step in the process.

* Serves as second contact if needed with students and faculty when acceptance or denial of a clinical placement request is received from clinical sites.

* Review and finalize customized documentation for each student's clinical placement site and preceptor.

* Oversee that documentation is sent to the clinical site, preceptor, student, and faculty.

* Oversee that specified student information is entered in the clinical site's electronic portal within stated deadlines.

* Oversees and recommends to leadership improvements to the clinical placement workflow process including the computerized applications that support the process.

* Provides verbal and written status update reports related to clinical placement processing to leadership as requested.

* Oversees Stony Brook Medicine special requirements for clinical placements at Stony Brook Medicine facilities.

* Oversees staff in the Office of Clinical Contracts and Placements and ensures efficient and compliant workflow.

Student Patient Encounter Tracking System:

* Completes an annual renewal of student patient encounter tracking system agreement including related procurement activities and participating as a point of contact.

* Oversees the development of training materials for students and faculty in the use of student patient encounter tracking systems.

* Supervises student assistants, when available, in entering new student accounts, clinical sites, preceptors, and faculty accounts.

* Exports clinical site and preceptor data into spreadsheets for accreditation and other regulatory reporting purposes.

* Communicates with faculty, students, staff, and system representatives regarding usage issues.

Student Assistant Supervision:

* Participates in recruitment of qualified student assistants to the OCP.

* Develops and maintains work schedules for student assistants in the OCP.

* Trains and oversees the quality and accuracy of student assistants in completing work related to clinical placements.

* Evaluates student assistant performance related to clinical placements.

* Approves student assistant time reporting.

Clinical Site Visit Tracking:

* Upon faculty submission of clinical site visit evaluations, forms are filed for future review by the program staff for accreditation reporting purposes.

Office of Student Affairs and Office of Clinical Placements Cross-Coverage:

* Works alongside the Assistant Director, Office of Student Affairs when processes overlap, such as areas related to compliance, exceptions, and data acquisition.

* Supervises the staff in the Office of Student Affairs if the Assistant Director, Office of Student Affairs is out.

Other duties or projects:

* Other duties or projects as assigned as appropriate to rank and departmental mission.

Special Notes:

This is a full-time appointment. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption.

Essential Position: This has been designated as an essential position based on the duties of the job and the functions performed. Positions that are designated as such may be required to report to work/remain at work even if classes are canceled, and the campus is working on limited operations in an emergency.

In addition to the employee's base salary, this position is eligible for $3,400 UUP annual location pay, paid biweekly.
