Provide office services by implementing administrative systems, and procedures. Monitors administrative projects for faculty and staff in the assigned academic area.

Major/Essential Functions


  • Assist Department Chair, Business Manager and Graduate Advisor with duties as needed.
  • Serve as main contact between graduate school and the department
  • Assist Graduate students with registration issues and point of contact for graduate issues in association with the graduate advisor. All banner functions of an advisor Thesis/dissertation Presentations (scheduling and paperwork for graduate school). Ensure all documents are submitted on time.
  • Meet with graduate students on a semester basis to advise on courses and other program requirements
  • Graduate Application Review system (Salesforce) - Pull graduate applications and provide information to the Graduate Committee for decisions. Input decisions and funding information in salesforce. Serve as point of contact for incoming students
  • Maintain Graduate Committee minutes and agendas
  • Maintain graduate student files. Support the faculty with arranging after-hours exam rooms through Ad Astra.
  • Collect and maintain data for SACS and Graduate Program Review
  • Catalog edit updates and curriculog duties
  • Work with the Academic Support and Facilities for times and locations of courses every semester including test dates and times/ extra classroom space requests
  • Schedule graduate classes in coordination with department chair, graduate advisor, and undergraduate advisor in Schedule Builder. Serve as liaison between department and registrar's office
  • Schedule proctors for exams as needed. Schedule Qualifying Exam and New Student Orientation in conjunction with the graduate advisor
  • Maintain department graduate student handbook
  • Book rooms for meetings, events, student orgs, faculty, and staff for the building (Ad Astra and main department calendar admin)
  • Serve as facilitator for department newsletter. Gathering information and photos and collaborating with COE Marketing and publisher. Responsible for creating and maintaining other departmental promotional material. Assist department chair with various PowerPoints.
  • Maintain department Social Media accounts
  • Scholarships- Ensure department follows all protocol when awarding scholarships. Pull student data from STS and present to Scholarship committee. Enter scholarship awards in STS. Maintain Thank you Letters.
  • Assist business manager with processing ePAFs as needed
  • Assist business manager with departmental event planning

Required Qualifications

Bachelor's degree in a related field plus one (1) year related experience; OR a combination of related education and/or experience to equal five (5) years.

Preferred Qualifications


  • Master's degree.
  • Experience with advising students

Pay Statement
