Job Overview: The Project Manager s responsibilities include planning, organizing, and implementing strategic initiatives for the Children s Health Service Line. The Project Manager will be responsible for working with stakeholders at all levels to oversee the execution of programmatic and operational goals, as well as measure and communicate overall success. Duties consist of organizing, implementing, and tracking complex multi-disciplinary and multi-site projects leveraging project management methodology and tools to clearly define project scope, outcomes, and oversee the execution of work. The project manager will engage continually at the leadership level to ensure that projects within portfolio are allocated and prioritized to meet the Children s Health Service Line goals in coordination with overarching system goals. Focus areas will include Clinical Program Development, USNWR, Quality & Safety, and Patient Experience. The Project Manager will routinely interact with senior system leadership. Organizational skills and a professional demeanor are essential for success. Qualifications: Required:
- Master s Degree in public health, healthcare administration, business administration or similar field.
- A minimum of 7 years working in an administrative, program planning, project management capacity working with clinical stakeholders within the healthcare industry or health related fields (public health, research, education).
- Familiarity with formal QI methodology as taught through an established organization (SPS, IHI, I2S2).
- Excellent verbal, written, and presentation skills.
- Intermediate knowledge of Microsoft office suite required.
- Excellent leadership and organizational skills.
- Problem solving and decision-making capabilities.
- Ability to work under strict deadlines.
- Ability to collaborate with cross functional teams.
- Excellent communication skills.
- Ability to travel to various sites as required.
Preferred:
- Experience with project management in pediatric healthcare settings is a plus.
- Experience with project management in complex multi-site health systems is a plus.
Scheduling Requirements:
Essential Functions:
- Project Planning & Organization
- Develop project plans leveraging Project Management methodology including setting concrete measurable goals, defining project scope, timelines, and allocating and engaging appropriate stakeholders.
- Ensure that project deliverables meet quality standards and project requirements as defined by Service Line leadership team and project stakeholders.
- Develop and update project tracking tools such as workplans and Gantt charts to visually break down, document, and track complex project steps.
- Develop and communicate budgets related to project or program goals as needed.
- Anticipate and communicate risks up front; leverage Service Line team and system level/corporate resources to create mitigation strategies and resolve barriers.
- Project Execution
- Serve as the central point person responsible for ensuring that projects are executed within agreed upon timeframes.
- Coordinate and facilitate effective and efficient project team meetings, including gathering information for review, creating and sharing agendas ahead of meetings, and ensuring that all participants are prepared to present and speak to their respective areas of ownership.
- Organize, attend, and actively engage in any other relevant stakeholder gatherings.
- Provide support and resources to accomplish assigned project tasks and follow-ups.
- Serve as the main point of contact for project stakeholders, independently working to provide updates on project status, manage expectations, and ensure satisfaction.
- Independently gather and analyze data as needed to support project goals.
- Provide administrative support across all assigned projects as needed.
- Documentation & Communication
- Maintain comprehensive project documentation; keeping track of all materials in one place, including meeting notes, status updates, action items, and due dates.
- Prepare meeting summaries documenting and disseminating significant decisions or discussion points.
- Create progress reports and PowerPoint presentations tailored to various audiences including high level summaries for executive and/or c-suite leadership.
- Prepare post-project reports, facilitate debriefs and publish lessons learned as needed.
- Escalate issues and barriers for resolution in a timely fashion.
- Ongoing administrative support and oversight
- After project closure, project manager may be assigned as needed to work with operational stakeholders to oversee ongoing compilation and distribution of project related metrics, dashboards, and reports on behalf of the original project team and stakeholders.
- Project manager may also maintain ongoing oversight, organization, and facilitation of governance/oversight forums or committees that stem from project related areas.
- Service Line engagement, support, and coordination
- Attend all Service Line leadership meetings as requested, being prepared to report out on project progress and major barriers requiring resolution.
- Proactively schedule relevant meetings with Children s Health Service Line leadership to communicate progress and set priorities for projects within assigned project portfolio.
- Identify and communicate areas of opportunity for improvement in project management and/or project execution including but not limited to coordination of team function, resource allocation, management of stakeholder expectations, deliverables/timelines, infrastructure and support.
- Support the Children s Health Service Line administrative functions as needed including but not limited to collaborating with marketing team to support website/social media presence.
