The Division of Administration seeks to grow our support staff for our outstanding faculty and business partners that drive innovation and recognition everyday.

Key Responsibilities:



  • Assist Director of Operations and Vice Chair of Administration with special projects as needed, which may include but are not limited to: reorganizations, communications, special events and presentations.
  • Act as an ambassador for the Department of Surgery and the Office of the Chair, serving as a representative and first point of contact. This includes answering any and all inquiries via phone, email and in person.
  • The Business Operations Professional must also ensure that clients (including clinicians, internal business partners, external vendors and potential candidates for hire) receive excellent customer service and clear and concise communication regarding expectations, directions and timelines, and have the ability to draw on diverse resource or redirect to appropriate resources when necessary by building relations with internal business partners.
  • Serve as the primary back up for the Executive Assistant to the Chair of the Department of Surgery.
  • Create and/or revise office procedures, understand workflows and identify areas of inefficiency to better manage floor plan updates, monitor surgery administration Outlook inbox and department mail distribution, update and distribute Department of Surgery phone list, and manage and process all EMS requests for the Office of the Chair rooms.
  • Responsible for procurement of goods and services for the division and reconcile expenses, including catering and management of external vendor relations including contracts for office equipment and work orders.
  • Various other administration duties as assigned.



Work Location:



Hybrid - this role is eligible for a hybrid schedule of 2 - 3 days per week on campus and as needed for in-person meetings.

Qualifications:



Minimum Qualifications:



  • A bachelor's degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution
  • 1 year of professional level experience in business services facing role.


A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:



  • Experience with Microsoft Office.
  • Experience with scheduling meetings using Microsoft Outlook for multiple managers.
  • Experience handling day-to-day financial transactions of an organization including invoicing, reporting, preparing budgets, receiving, and handling.


Knowledge, Skills and Abilities:



  • Be able to prioritize requests based on needs of the department and manager's preference, including the ability to manage conflicting and changing priorities or in essence having outstanding organizational and time management skills.
  • Have proven experience applying critical thinking to tasks and calendar prioritization, in essence attentional to detail.
  • Highly organized, proactive self-starter, able to work independently, prioritize tasks and meet deadlines.
  • Ability to communicate effectively, both in writing and orally.
  • Ability to establish and maintain effective & positive working relationships with employees at all levels throughout the institution.
  • Demonstrated commitment and ability to advance diversity and inclusion.
  • Interpersonal skills with ability to provide excellent customer service, while ensuring fiscal compliance and rules adherence.

Anticipated Pay Range:



The starting salary range (or hiring range) for this position has been established as HIRING RANGE

$54,383 - $63,628

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
