Specific Tasks for the Position:



  • Assist Project Managers (PMs) and Project Assistants (PAs) with project-related tasks
  • Prepare Job Hazard Assessment (JHA); Safety, Health, Environmental (SHE) Plans; and other project safety forms and plans
  • Manage/update Electronic Folder Management (EFM) permissions as requested
  • Create and maintain attendance rosters for meetings or other purposes
  • Schedule project coordination/review meetings and take meeting minutes as requested
  • Attend other meetings as requested; write and assemble meeting minutes
  • Manage and add content to COS SharePoint Site(s)
  • Assist with management of the COS Workload Planner Tool
  • Coordinate/Request new and renewal Government Common Access Cards (CACs)
  • Assist with other office and project security-related requirements
  • Assist in coordination with staffing partner(s)
  • Assist with timecards and tracking of attendance for contingent workers as needed
  • Assist with project site visit travel scheduling and coordination
  • Assist with coordination during project and travel emergencies
  • Assist with Records filing and retrieval
  • Assist with office training efforts
  • Assist with tracking of permanent office assigned seating
  • Perform Front-desk reception backup role when primary is absent
  • Perform various administrative tasks

  • Organization and understand process flows, schedules and corresponding data
  • Ability to work independently
  • Ability to work with teams
  • Accounting Experience
  • ProjectWise Experience
  • Microsoft Excel experience
  • Microsoft SharePoint experience or willingness to learn

Required Qualifications
  • High School diploma or equivalent
  • Excellent verbal and written communication including grammar, punctuation, proofreading, spelling and telephone skills
  • Flexibility and ability to prioritize and handle multiple tasks and various managers in a fast-paced environment
  • Self-motivated, well-organized and detail-oriented
  • Ability to handle confidential information
  • Proficiency with MS Office including Word and Outlook
  • An attitude and commitment to being an active participant of our employee-owned culture is a must
