Position Overview
Accessible Teaching, Learning, and Assessment Systems (ATLAS), a research center at the University of Kansas (KU), is seeking an Administrative Associate Senior to provide executive support to the center director and lead some center-wide initiatives and projects. The successful candidate has a proven ability to independently manage multiple tasks and projects with competing priorities and deadlines, and to organize and maintain center-wide procedures.

ATLAS creates technology-based learning and assessment systems that are accessible and academically rigorous. Dynamic research on skill development, assessment design, and teacher professional development informs the center's map-based learning systems.

Job Description
70% - Executive administrative support
  • Maintain the ATLAS Director calendars, monitor for and resolve conflicts.
  • Complete all work-related travel arrangements through the University or third-party organization.
  • Prepare and submit travel expense and p-card reporting.
  • Complete sensitive and non-sensitive project requests
  • Prepare and analyze documents, presentations, and spreadsheets.
  • Coordinate special projects on behalf of the ATLAS Director including monitoring tasks, outcomes, and delivering feedback.
  • Manage professional memberships.
25% - Maintain and implement center-wide operational procedures.
  • Support the administration of the department, including identifying needs and developing procedures, forms, reports, and filing systems.
  • Coordinate special projects on behalf of ATLAS Leadership, including center-level initiatives, policies, and procedures; proposal development; and marketing communication.
  • Compose correspondence, monitor various email accounts, and screen phone calls.
  • Evaluate, develop, implement, and maintain systems and procedures for the efficient operation of assigned area including recommendations for procedural changes affecting staff.
5% - Other duties as assigned.

Position Requirements
  • This is a full-time (40 hours/week), unclassified position.
  • Depending on the center's needs and team's needs, well-qualified candidates may be allowed a work location that is hybrid or remote.
  • This position will be required travel to Lawrence and/or other locations occasionally.
  • This position will require attendance at regularly scheduled meetings, onsite or through telecommunication platforms.

Required Qualifications
  1. High school diploma or GED equivalency and four years of relevant office experience OR four years of post-secondary education.
  2. Four or more years of experience using Microsoft Office Suite: Outlook Email/Calendar, Word, Excel and PowerPoint.
  3. Three or more years of experience using SharePoint, Google Drive, Project Planning (Asana, Microsoft Planner or Microsoft Project) and web conferencing tools.
  4. Prior experience supporting executive staff, as evidenced in application materials.
  5. Strong communication skills, as evidenced in application materials.

Preferred Qualifications
  1. Bachelor's degree plus two years of relevant full-time work experience
  2. Two years of experience successfully prioritizing multiple, detail-oriented, and sensitive, projects under tight deadlines.
  3. Previous experience successfully completing projects, independently and with minimal supervision, as evidenced in application materials.
  4. Previous experience effectively collaborating with internal teams, cross-functional teams, and external partners.
  5. Previous experience in adapting and responding to changes in work priorities and processes, as evidenced from prior work experience.
  6. Prior experience with attention to detail in written work as evidenced by application materials.
  7. Prior experience with financial responsibilities, proposal development, or marketing, as evidenced by application materials.
  8. Experience with software commonly used at KU software including OAC, BrassRing, Egencia, Concur, as evidenced in application materials.
  9. Previous successful supervisory experience, as evidenced in application materials.
