The Opportunity

We are seeking a Business Development and Marketing Assistant to join our Firm. This position will be based in our Palo Alto, California office (hybrid). The Business Development and Marketing Assistant works closely with the Palo Alto Marketing and Communications Assistant Director and Marketing & Communication Specialists in an administrative support capacity. Assists with key office marketing and business development initiatives and programs. Responsible for the maintenance of the tracking and assessment process.

Responsibilities

• Assists with tasks related to attorney support, business development, and marketings programs.
• Tracks all business development and marketing activity and is responsible for maintaining and updating shared spreadsheets, dashboards, and various trackers.
• Generates summary reports, maintains standard reports and visualizations.
• Provides support for pitches, proposals, and RFP responses.
• Provides support for events such as venue research, RSVP tracking, communication with attorneys and other departments and day of staffing.
• Works in conjunction with CRM database team and secretarial support to maintain contacts lists such as attorney, PAL event and mailing lists.
• Liaises with EA coordinator on BD Forms, Charitable and BD event trackers to maintain consistent InterAction business development tracking.
• Provides high-level administrative assistance in various tasks.
• Ability to shift priorities and wear multiple hates, as the role is based on demand and the needs of the attorneys.
• Demonstrates effective interpersonal, written and verbal communication skills to facilitate effective work relationships with others.
• Manages Firm resources responsibly.
• Regular and reliable physical presence to (ex: work as part of a team, meet with clients, use on-site equipment, etc.) [If applicable]
• Complies with and understands Firm operation, policies and procedures.
• Performs other related duties as assigned.

Qualifications

• Knowledge of relevant firm computer software programs (e.g., Outlook, Excel, PowerPoint), with the ability to learn new software and operating systems
• Demonstrates effective interpersonal and communication skills, both verbally and in writing
• Demonstrates close attention to detail
• Ability to handle multiple projects and shifting priorities
• Ability to handle sensitive matters and maintain confidentiality
• Ability to organize and prioritize work
• Ability to work well in a demanding and fast-paced environment
• Ability to work well independently as well as effectively within a team
• Flexibility to travel
• Flexibility to adjust hours and work the hours necessary to meet operating and business needs

Education and Experience

• Bachelor's degree
• Minimum 1 year of experience within a law firm environment or professional services environment

The starting base salary for this position is expected to be within the range listed under Salary Details. Actual salary will be determined based on skills, experience (to the extent relevant) and other-job related factors, consistent with applicable law.
