Job Summary

Assists the departmental leadership in the overall management and administrative direction for graduate programs. Manages the operations and logistics for the College of Business, MBA & MIB Programs. Provides administrative support to the MBA operations leadership team. General duties and responsibilities include formulating policies, management of daily operations, and planning the use of facilities, resources, and personnel.

  • Manages daily operations for graduate programs, including the MBA portfolio. Provides logistical and administrative support for the MIB and MBA programs, as well as, other initiatives for the Chapman Graduate School of Business.
  • Assures compliance and adherence to University's credit card policies and procedures. Submits requisitions and receives goods or services against purchase orders; creates travel authorizations, expense reports, through the University's financial system. Processes contracts in accordance with University's purchasing guidelines.
  • Interprets administrative and fiscal policies and procedures. Provides recommendations for the unit to improve overall operations for the programs and office site. Assist leadership in formulating and implementing policies and procedures.
  • Supports graduate initiatives, such as, Case Competitions or the MBA Advisory Board.
  • Manages and reconciles departmental expenses, including travel and other expenses using the University's credit card. Ensures charges are allocated to proper accounts and erroneous transactions have not been processed.
  • Works with faculty and external vendors on acquiring course materials for graduate programming and Professional Development Seminars/Residencies.
  • Assist with or manage Chapman or College related projects, as assigned, including residencies, study abroad and strategic initiatives, as needed.
  • Assists with budget planning and maintains fiscal responsibility for all program/department activities. Reviews accounts payable/receivable transactions, ensuring appropriate allocation of funds across program/departmental budgets.
  • Assists in the development and management of the annual operating budget, generates monthly variance reports, and analyzes current and past budgets to develop short and long-term forecast.
  • Works with various University constituents on the creation and execution of purchasing contracts. Processes and amends contracts, in accordance with University purchasing guidelines, including, retrieving quotes, generating requisitions, processing invoices, and ensuring internal and external constituents are paid in a timely manner.
  • Responsible for maintaining an inclusive working environment that is free from discrimination and harassment.
  • Performs other related duties as assigned or as directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications

Bachelor's degree in an appropriate specialization and four (4) years of related experience, or Master's degree in an appropriate specialization and two (2) years related experience.

Desired Qualifications

  • Experience in project and event management, purchasing,contracts, and PeopleSoft/ERP systems.
  • Familiar with Asana or other project management software.
