JOB SUMMARY

Under the general supervision of the University Advancement (UA) Information Systems (UAIS) Associate Director, Reporting & Business Insight, the Business Information & Application User Analyst is responsible for developing and supporting business intelligence (BI) reporting solutions and related business processes to meet the needs of University Advancement. The position will primarily focus on developing Salesforce reports and dashboards utilizing native Salesforce data reporting tools including CRM Analytics and SOQL, but may also be expected to use other 3rd-party data query and reporting tools such as Apsona, SQL, Microsoft Excel, SAS, Tableau, and Google Data Studio. This position works directly with UAIS team members and functional offices to gather and translate requirements into CRM (Constituent Relationship Management) terminology, as well as implement self-service BI solutions (dashboard, reports, etc.), singular ad hoc BI solutions, quarterly and fiscal year-end fundraising reports, and additional data requests. This position will simultaneously support the UAIS team on BI projects and work on projects independently as assigned. The position will be expected to work with end users to assist with complex or difficult data requests to ensure that their needs are met through resulting BI reports and dashboard solutions. This position will also develop training materials and documentation related to use of developed BI solutions. In a help desk role, this position will support and independently answer questions and requests for information and analysis posed by the UA Salesforce end-user community.

APPOINTMENT INFORMATION

Budgeted Salary: $33.29 - $39.75/hour. Salary commensurate with skills, qualifications and experience.

JOB DUTIES

50% - Business Intelligence (BI) Report Writing and Data Presentation

  • Identifies, evaluates, and develops limited to moderately complex systems and procedures.
  • Formulates and defines limited to moderately complex systems scope and objectives.
  • Executes unit integration and acceptance testing according to the developed plan.
  • Develops BI presentation tools (e.g. data dashboards) and data reports using Salesforce reporting tools ( Salesforce, CRM Analytics, Apsona, and SOQL) and other various data management/presentation/visualization tools (e.g. Tableau, Excel, Looker, SAP InfoView) to meet the BI reporting needs of University Advancement and associated consumers of alumni and donor data.
  • Helps develop basic user interface designs especially as it pertains to CRM integrated reporting/dashboard and report/data triggered business functionality and workflows.

20% - Requirements Elicitation, Specification, and Documentation

  • Analyzes business processes and problems to understand and validate functional business requirements to meet end-user needs.
  • Documents/develops detailed functional business requirements, both data-focused (e.g. BI reporting & data integration) and business-focused (functional) from elicitation and analysis of end-user, technical representative, and system needs.
  • Assist in evaluating and redesigning business processes and solving production issues as part of developing BI tools and reports (working with end-users & stakeholders).
  • Assesses current BI and software application use processes (including the development of current state process flows and the identification of existing issues/bottlenecks and designing solutions) and defines opportunities for improved efficiencies and process optimization.
  • Assists with testing and writing test plans (on an as-needed basis) for BI related systems and reports.

20% - Systems & BI Services/Reporting Support

  • Provides training materials to end users via tickets or shared files.
  • Provides backup support to the UAIS Information and User Services Analyst in providing end-user support and training of these systems.
  • Provides data support to data analysts and scientists both in the division and on campus.
  • Become a subject matter expert in the functional uses of the UA CRM system and the underlying constituent/donor relationship management (CRM) and gift database and associated BI tool set.

10% - Project Management

  • Manages multiple small UA BI projects simultaneously.
  • Conducts project feasibility analysis to determine the scope, resources, and implementation timeframe for proposed small to medium-sized projects.
  • As needed, assists in developing project plans to define the objectives, deliverables, approach, risk, resources, and timeline for small to medium-sized projects.
  • May participate in cross-functional teams to address business process or systems issues.

REQUIRED QUALIFICATIONS

  • Bachelor's degree in related area and / or equivalent experience / training.
  • Skills associated with analysis of processes and issues of moderate scope, information flow and architecture; and including knowledge of business and process analysis functions and experience analyzing business needs and creating high-level and detailed technical requirements, both data-focused (reporting & data integration) and business-focused (functional) requirements to meet those needs.
  • Ability to develop working specifications from vague and often changing requirements.
  • Strong business knowledge and a good understanding of IT issues; and knowledge relating to software design.
  • Previous proven business process analysis experience; and demonstrated skills associated with analysis of processes and issues of moderate scope, information flow and architecture.
  • Excellent self-management skills, including the following:
    - Proven organizational and time management skills
    - Performing effectively with frequent interruptions
    - Initiative and follow-through to complete a variety of assignments with a high level of attention to detail and accuracy

  • Demonstrated experience in the use of computer applications in the areas of information analysis, BI reporting, utilizing databases, creating graphics, video, and/or web pages, and marketing communications (internal and external).
  • Salesforce report writing experience and skill or experience with various data reporting tools available with/for Salesforce.
  • Demonstrated effective communication and interpersonal skills and ability to work with others from diverse backgrounds; and including experience providing user/customer support, including demonstrated ability to communicate technical information to technical and non-technical personnel at various levels in the organization. Analytic skills sufficient to identify issues, recommend courses of action, implement actions plans, and evaluate results.
  • Demonstrated group facilitation, presentation, and training skills.
  • Demonstrated testing and test planning skills; and experience in testing, analyzing data, or auditing to ensure a high level of data quality and BI output.
  • Ability to understand, comply with, and advise users of federal, state, campus and unit policies regarding appropriate use of information including the handling of confidential and restricted data ("FERPA", "PII", etc.).

PREFERRED QUALIFICATIONS

  • Experience with Structured Query Language (SQL and or Salesforce SOQL) to group, analyze, report, and transform data is a plus.
  • Experience with complex BI and data analytic tools/systems such as SAS, IBM SPSS, R, and/or Python; also, Salesforce CRM Analytics, SOQL and/or Apex.
  • Data warehouse experience and creating reports from a data warehouse.
  • Two or more years of experience as a BI/Reporting/User Support Analyst.
  • Knowledge of advancement systems, preferably solutions built on Salesforce (e.g. Affinaquest AdvancmentRM).
  • Demonstrated experience in designing and developing training curriculum and materials and conducting online and/or in-person training, particularly for technical training topics.
  • Experience in the use of business process modeling tools such as Lucidchart, Microsoft Visio and/or OmniGraffle Professional; and project management tools such as spreadsheets, Atlassian Jira, Microsoft Project and/or Asana.

SPECIAL CONDITIONS OF EMPLOYMENT
